Purpose of Digital Documents Program • Fulfill our state mandate to collect, preserve and provide access to New Mexico state publications • Fulfill our state mandate to provide our 24 state depository libraries with their copies of those state publications • Paper, electronic and web-based publications

  4. Collaborative Selection Efforts • Worked with Depository libraries- meetings • Worked with State Archives • Worked with State Agencies • Buy in from all

  6. Identification • File their electronic and web-based documents using designated mailbox DCA-statepubs@state.nm.us • State Documents staff proactively searches agency websites and calls with claims for un-filed documents • OCLC Web Archives WorkBench

Is It Working? - State Library and State Depository Libraries • State Mandates are being met: • Have not lost many web-based or electronic state publications • 3,000 items are digitally archived in our collection • Depository libraries provide access to all digital documents that are part of the depository system through their local catalogs • Local Ipacs • Last Digital Shiplist had 62 digital documents • Evaluation of the digital documents program and collection development policy at annual depository meetings and through site visits

  8. Is It Working? – State Agencies • State Agencies can meet budgetary constraints as well as filing mandates • Exploring creating special collections with agencies

  9. Is It Working? State Archives • Ongoing discussions with State Archives • Happy not to be losing documents • Physical location of documents on OCLC server a problem • Currently working with State Archives on EDMS Project to find new common technologies and metadata schema

Future • Continue to fulfill our state mandates regarding collection, preservation and access to state digital publications at the State Library and through our 24 State Depository Libraries • Current Digital Documents Collection Development Policy and methods of identification and selection seem to work

Future • Are looking at expanding our Digital Documents Collections to encompass other types of documents • New Mexico State Library Federal Digital Documents ●NewsPlus – Non-Depository Federal items of local interest ● Federal Depository Library of the Year • Local Documents • Municipal and county documents • Institutional Documents
