  3. Timeline for the Event • 7:00 – 11pm Setup Crew #2 • 7:00 pm Talk of the Town arrives • 8:00 pm Bus loop will be blocked off (Ken Waldmiller) • 10:00 pm Fire Marshall inspection • 11:00 pm Volunteers arrive & receive Safety briefing; dinner ready • 11:30 pm – 12:00 am Check-in • 11:30 pm – 1:30am Prize tickets distributed • 12:30 am Three volunteers needed to assist with taking down tunnel at entrance • 1:45 am Breakfast food opens • 3:00 am 30 minute warning for game shutdown • 3:15 am 15 minute warning for game shutdown • 3:30 am Illusionist program in auditorium (ALL Students attend illusionist; parents begin clean up) • 4:20 am Prizes announced • 4:30 am Students dismissed through main doors

  4. Setup • Setup volunteers will arrive at 7:00 pm • Karyn Cram, setup lead, will direct the setup activities • 10:30 pm – three volunteers will assist with “raising” the Wildcat tunnel at the entrance; Mr House will bring Tunnel • Karen McRaney, decorations lead, will direct the setup of all decorations • Setup and decorating activities include, but are not limited too, setting up registration tables, cordoning off area for the game trucks outside the library, setting up designated path in the library, setting up the Stuff a Wildcat table, covering all windows outside the library and at the main entrance of the school, setting up the food line and dining tables in the cafeteria

Check In • Check-in will occur from 11:30 pm – midnight • All students will be issued a colored wristband at check-in (red, yellow, or blue) • All students will receive a string backpack to carry around their belongings – backpacks will receive a label with their names on it to assist with lost backpack recovery • At 12:00, phone calls will be made to the parents of all students that have not checked in • Two check-in volunteers will assist with prize ticket distribution starting at 11:30 pm • Students must have a pre-arranged note or a medical reason in order to leave before the end of the event

Activities • Atrium and Hallways • Casino tables (Roulette, 5 Black Jack, 4 Texas Hold’em Poker, 10 volunteers, plus 2 floaters) • Stuff a Wildcat (2 volunteers) • Caricaturists (1 volunteer) • Airbrush Tattoo (1 volunteer) • Video Game Trailers (2 volunteers) • Green Screen (1 volunteer) • Money Machine (2 prize team volunteers)

Volunteers • DRESS CODE: • Casino/Black Jack/Roulette: Please wear white button down shirt (any colored pants)—we have red bow ties! • All other volunteers: Please wear Black Shirt/T-shirt as students are wearing white T-shirts and comfortable clothing/shoes • Security • Responsible for securing all exits and fire alarm pulls • Setup in groups of four – five, covering three to four locations, plus one rotational relief person • Game Supervision • Responsible for ensuring game/activity use is fair and that students are using equipment safely • Laser Tag – volunteers must know at all times how many students are in the laser tag arena

  13. Volunteers (cont.) • Casino • Ten tables, Roulette, Texas Hold’em, Black Jack • One to two relief people will circulate through the tables. In addition, the administration will take opportunities throughout the night as dealers • Instructions for running the games will be provided by the onsite game supervisor, “Pit Boss” • Instruct students to report earnings to Pit Boss…Top 3 win a prize • Food • Volunteers will monitor food and drinks throughout the night and will prepare breakfast foods starting at 1:45 am • Prize Team • One volunteer will supervise the prize table at all times • All students will be given 5 tickets to place in jar for prize they want; drawings will be held and announced at end of ANGP; check off name after giving them their tickets • Two prize volunteers will supervise the Money Machine • One volunteer will circulate through the event with walk-a-round trivia

  14. Volunteers (cont.) • Photographers • Capture the memories! • Cleanup • Cleanup will begin as soon as the students go into the auditorium for the Illusionist program

Security Volunteer Teams • Team 1 • Locations 2, 3, 4, 5, and 6 • Door 3 and 4 are in the library and can be covered by one person • Team 2 • 7, 8, 9, 10, and Stairwell • Team 3 • Door 1 (Main Door) • Also responsible for tracking any departures and maintaining student rosters in the event of an evacuation • NOTE: • Feel free to bring a book to read as some of the doors are out of way and quiet • We will rotate positions every 30 minutes (or based on number of volunteers)

ALL VOLUNTEERS READ PLEASE!!!Security Procedures & Evacuation In order to ensure that everyone remains safe, the following safety and security features will be in effect thoughout the event • In the event of an emergency, DIAL 911. • After dialing 911, contact onsite Security contact, Nancy Holincheck and the onsite SRO, Officer Wrobel. • In the event of a fire, the evacuation plan will be implemented • In the event of a fire alarm activation, the evacuation plan will be implemented and 911 will be called, both by officials at the school and school security • Key volunteers will have walkie talkies

Evacuation Plan • In the event of an evacuation, ALL volunteers are asked to take control and calmly help everyone exit the building • DO NOT allow students to go to their cars • All students should be escorted to the tennis courts in the rear of the school (see security procedures for the path to the tennis courts) • Students will be issued a colored wrist band (red, yellow, or blue) at check-in and will be sorted accordingly into the three sections of the tennis courts • A security volunteer will be tasked with responsibility for each of the color groups and given a red, yellow or blue sign • Once students are secure on the tennis courts, the security volunteer assigned to each color group will take attendance and ensure everyone is accounted for

Power Failure • CVHS has a backup generator that will come on within a few seconds of power failure – please keep students calm during this time • ALL volunteers are asked to bring a flashlight – there will be a limited supply of flashlights on sight Early Departure • Students must have a pre-arranged note or a medical reason in order to leave before the end of the event
