  1. Eaglesoft 16.00 Provider Hours

  2. Provider Hours • Hours no longer attached to Chairs

  3. Provider Goals • Add provider Goals by highlighting the chair/ location on the left and enter your goals in the last column on the right.

  4. Assigning Chairs to Providers • Select Chair/Location • Assign Chair/Location • Chair will default to the same hours as whatever you had selected prior to assigning.

Provider Hours Display • Chairs appear open in the times that Provider Hours are assigned • Lunch times display on Chairs only when the Providers attached have designated the same lunch hour Hygienist attached to Chair has lunch, however Dentist attached to same Chair does not. Since one provider is available to work in this Chair at all times, Chair displays as open. Changes display immediately on Schedule – no longer have to close and reopen for edits to take affect!

  8. Changing Hours from within OnSchedule Chair View • Right Click – Close Chair • Right Click – Close Day Provider View • Right Click – Edit Provider Hours

  9. How Provider Hours Upgrade from v15.00 • If Provider has no Hours and no Chairs/Locations attached, no changes will be made during upgrade.

  10. How Provider Hours Upgrade from v15.00 • If Provider has Hours, but no Chairs/Locations attached, Provider Hours will be assigned to all Chairs/Locations so that the schedule will view as open.

  11. How Provider Hours Upgrade from v15.00 • If Provider has Hours and Chairs/Locations attached, upgrade will create Provider Hours per Chair/Location, based on Chair Hours.

  12. How Provider Hours Upgrade from v15.00 • If Provider has no Hours but has Chairs/Locations attached, upgrade will create Provider Hours per Chair/Location based on previous Chair Hours for any Chairs/Locations attached to this Provider.

  13. How Provider Hours Upgrade from v15.00 • Custom Provider Hours will upgrade as assigned to all Chairs/Locations that provider is attached to.

  14. How Provider Hours Upgrade from v15.00 • Custom Chair/Location Hours will upgrade as assigned to any Providers attached to that Chair/Location.

  15. Eaglesoft 16.00 Provider Time on Appointments

  16. Primary/Secondary Provider • No longer drop down choices for Primary and Secondary providers • Mass updates to transfer appointments from/to Secondary provider removed. • Mass update to assign Secondary provider on hygiene appointments removed.

  17. Provider Time • Use the drop down arrow next to provider name to change providers • Right click on provider time to change providers • Click and drag provider time to change the allotted time per provider • Double click or right click an empty time slot to add a provider Provider choices list the patients preferred providers at the top with sub menus for other service providers and staff.

  18. Provider Time • Any number of providers can be attached to appointments in any combination. Dr. and Hyg 2 Drs. Hyg/Dr./Hyg

  19. Staff Time on Appointments • Any staff member can be attached to an appointment • No color assignment for staff – All staff time appears in White. • Cannot setup Appointment Types with default Staff members

  20. Empty Provider Time • At least one provider has to be assigned to each appointment for at least one time slot. • Empty time slots will appear in a light beige color when viewing Provider Colors.

  21. Appointment Type Setup Must be accurate to ensure easy scheduling.

  22. Provider Time Defaults • Looks at Appointment Type Setup • Normally Performed By • Provider Time • Matches position on Provider Time with Patient’s Preferred Providers • Star Icon distinguishes providers manually added to the appointment vs system added providers

Provider Identification Symbols • Primary Provider(s) and Other Provider(s) • Symbols based off the ‘Normally Performed by’ setting of the appointment type. • Appointment Type is normally performed by Hygienist, any Hygienist on the actual appointment will display the Primary Provider symbol.

Provider Identification Symbols • If the appointment has two Primary Providers, both providers show the same symbol. • Staff members show as the Other Provider Symbol. • If a Primary Provider and an Other Provider are attached at the same time slot in an appointment, the Primary Provider symbol will be the one displaying on the appointment

Provider Goals • As with v15.00, if services are attached to an appointment, the Provider of the Service will be attached to the goal amount of that service. • When there are no services on an appointment, goals are assigned to the first provider added, that matches the ‘Normally Performed by’ setting of the appointment type. • If there are more than one provider on the appointment that matches the ‘normally performed by’ setting of the appointment type, the goal will go to whichever provider is listed first.

  26. Adding Services to an Appointment • Open Service Panel • Add Service or Add Tx Item

Adding Services to an Appointment • Matches the service code to provider on appointment based on the ‘Normally Performed by’ setting of the service code. • If more than one provider on appointment match this setting, service code will be attached to the first provider listed. • If no provider on appointment matches this setting, the patient’s preferred provider of that position is added to the appointment and attached to the service. • Any provider added to an appointment by the system, is added for the entire length of the appointment by default

  28. Adding Planned Services to an Appointment • Preference for ‘Always use Provider on Appointment when Provider on Appointment doesn’t match Provider on Treatment Plan items’ drives the default settings for adding planned services to an appointment • When checked, Appointment Provider overrides Treatment Plan Provider. • If no provider of the correct position exists on the appointment, the Treatment Plan Provider is added by the system. • When unchecked, Treatment Plan Provider overrides Appointment Provider. • If more than one provider of the correct position exists on the appointment, the system will override the first provider of the same position. • If no provider of the correct position exists on the appointment, the Treatment Plan Provider is added for the entire length of the appointment.

  29. Editing Services on an Appointment • Check box used for deleting selected services and/or Providers • Drop down menu used for changing provider of service • All changes in Service Panel are synced with the Provider Time box and vice versa – They will always match.

How Provider Time on an Appointment Upgrades from v15.00 • Secondary provider exists, no provider time marked, planned services are assigned: • 15.00 considers all time assigned to secondary provider. • 16.00 will leave it all to the secondary provider based on the checkmarks unless you have to add any providers attached to the assigned planned services not already on the appt. If providers are added, it should always be the entire length of the appt.
