  2. How to report your post office data? All identified post offices are required to submit their details everyday in the CBS pre migration monitoring website. Website Link: http://www.ptcinfo.org/cbsmonitoring/Login.ASPX The online application is developed to collect data from post offices and track their preparedness w.r.t pre data migration activities which should be completed for smooth transitioning to core banking system. There are two user levels in CBS monitoring website – • Data entry operations by HO/SO Postal Assistants / Postmasters . • Administrative Offices at various level (e.g. Division, Region, Circle and Directorate)

  3. CBS pre migration monitoring website – Login On typing the URL in an IE browser the user will be directed to the login page of the application. Snapshot of the Login page is given below – To login into the website enter the login id and password in the text boxes given alongside LOGIN ID and PASSWORD labels respectively and click on the SIGN IN button.

  4. CBS pre migration monitoring website (MONITORING ACTIVITIES) The below page with MONITORING ACTIVITIES title will be displayed to user on successful login. On the top section of the CBS Monitoring page for data entry operators the LOGIN ID, OFFICE NAME, OFFICE TYPE (HOF for Head Office, SOF for Sub post office) and OFFICE CODE which is a function of Pin code assigned to that office will be displayed as shown in the top section of the above snapshot. To enter data of the office, the user should click on the DAILY DATA ENTRY HO/SO button

CBS pre migration monitoring website (DATA ENTRY OPERATIONS) User will be directed to the DATA ENTRY FOR CBS MONITORING AND OFFICE READINESS page User will be shown the post office name/office type and office code (function of PIN Code) and date on this page The data entry page is divided into five sections – • Electronic account details (8 fields for which data is required) • Interest posting (1 field) • Minus balance details (11 items/22 fields for which data is required) • DB Analyzer (12 fields for which data is required) • SBCO objections (9 items/18 fields ) The details of each section is described in the next few slides

  6. DATA ENTRY OPERATIONS - ELECTRONIC ACCOUNT DETAILS SECTION The user should enter the number accounts in respective post office in this section of Data entry page. The figures given in the text boxes should reflect the number of accounts for the labels given alongside them. E.g.: Text box against Savings Bank Electronic Accounts should have the total number of SB Accounts available in the post office Point to remember: CTD, MSY and NSS 87 accounts should not be taken into consideration in this section. Apart from the above mentioned condition all other accounts should be reported here. Even silent, revived, NREGA etc. account numbers should be reported.

  7. DATA ENTRY OPERATIONS – INTEREST POSTING SECTION User should select either YES or NO for the Interest Posting section based on the status of the office. Point to remember: User should select YES only if the post office satisfies the following condition. • Interest posting is complete for all TYPES of SB Accounts (Regular SB accounts, Pension accounts, BPL, NREGA etc.) and • Interest posting of PPF accounts is complete in the post office. Their should not be any accounts for which interest posting is pending as the tolerance for this criteria is 0.

  8. DATA ENTRY OPERATIONS – MINUS BALANCE DETAILS SECTION User should report all Minus Balances in the post office in the MINUS BALANCE DETAILS section of data entry page. The above snapshot represents a section of MINUS BALANCE DETAILS present in the CBS pre migration application. 11 items/22 fields are there for which data is required. User should report in all fields if any of these fields is the cause of minus balance in the post office. Incase the Minus balance present in the office do not matches with any of the sub category listed in the application then it should be reported in text box alongside the ‘Other cases’ label

DATA ENTRY OPERATIONS – DB ANALYZER SECTION User should report this section based on DB Analyzer data of the post office • \ POINT TO REMEMBER: All details in this section should reflect the actual position of the post office. User should not delete or add any number to the figures reflected in DB Analyzer. The first four entries listed in the above snapshot should have details of ALL TYPES of accounts present in the post office.

  10. DATA ENTRY OPERATIONS – SBCO OBJECTIONS SECTION User should report all SBCO objections in the post office in the SBCO OBJECTIONS section of data entry page. The above snapshot represents a section of SBCO OBJECTIONS fields present in the CBS pre migration application. 9 items/18 fields are there for which data is required. User should report in fields if any of these fields is the cause of SBCO objections in the post office. Incase the objections present in the office do not matches with any of the sub category listed in the application then it should be reported in text box alongside the ‘Other cases’ label

  11. DATA ENTRY OPERATIONS – Saving your details/Error conditions After giving all details the user should hit the ‘SAVE’ button to save the data. The user will be displayed a Success message if the details are saved successfully. Error conditions User will be displayed error condition incase of the following conditions. • Unsuccessful login because of wrong user id or password • Any unhandled exception in the application. In case post offices face any issue they should contact immediately to DO/RO/Circle Office/NISG resources deployed in circles.

  12. HOW TO REVIEW MY POST OFFICE In the next few slides we have described how the post offices can do a self review of their own post office. Where is my post office lagging? Which areas to focus?

  13. CBS pre migration monitoring website (REVIEW FUNCTIONS FOR POSTMASTERS) Post masters can use the monitoring website to evaluate their own performance. User need to access the REPORTS AND MIS MODULE to do self review of their post offices. Click on the REPORT AND MIS button in the monitoring activities page. The user will be directed to a new page as given in the next slide

  14. CBS pre migration monitoring website (REVIEW FUNCTIONS) To get the details of post office, the user should select the option ‘My Office Data Report’ and any roman calendar date from the dropdowns given alongside ‘SELECT REPORT’ and ‘AS ON DATE’ labels respectively. After selecting the options from the dropdown list the user should hit the ‘GENERATE’ button to fetch the details. User will then have the complete set of data for the selected date and along with it the user will also be provided with the score of the office. (Snapshot of the report is given in the next slide)

  15. CBS pre migration monitoring website (REVIEW FUNCTIONS) Post Office report snapshot Indicative use of the report - The post master can use the score to review the progress of the post office, areas in which the post office is lagging and need immediate attention can be known easily by comparing the score obtained in each subsection against the maximum score assigned to the subsection.

CBS pre migration monitoring website (CIRCULARS SECTION) In the next few slides CIRCULAR SECTION of CBS pre migration monitoring website is described Post masters/PAs can use the CIRCULAR functionality to have better understanding about the CBS project. All communications from the directorate to the circles are uploaded in the CBS pre migration website to save time and eliminate chances of misinformation/assumption in information flow. Circular section should be used as a guide in all matters related to the CBS monitoring.

  22. CBS pre migration monitoring website (CIRCULARS SECTION) On clicking the CIRCULARS button the user will be directed to the below page. How to use CIRCULARS page? Click on the ‘Select’ hyperlink to view the details of the circular from directorate. By default all circulars will be listed in the table. User can also search for any particular circular based on date or name. Scoring Logic used for CBS can also be viewed from this page by click on the ‘How To Do Scoring/Scoring Logic’ hyperlink
