Process For “Announced” Teacher Observations Evaluator Teacher • 1 Set Up observation 1 Confirm schedule and upload requested documents/info 2 Conduct pre-conference 2 Conduct pre-conference 3 Perform observation • Upload requested post observation info 4 Conduct Post conference and score the observation 4 Conduct post-conference 5 Confirm observation and submit to district

  4. Receiving the Observation Request You will receive an email in your school email account when your observation has been scheduled. This will happen for both Announced AND Unannounced observations. Please log in to www.teachscape.com to review the observation date and details.

  5. Logging into Teachscape To access request you must login to your Reflect Account. • www. Teachscape.comCustomer Login • Username: first.last name • Password: teach (until you change it) • Click on Lesson Observations • Select the Required Observations tab • Open the request in bold at the top of your Incoming Requests

Reviewing the Observation Request The following Information about the observation will be listed within each request: • Title = Grade, Subject (ex. 6th grade math) • Date & Time: • Announced- at least ___ days in advance • Focus = Optional, can be based on your specific building strategies, etc. • Additional Instructions • Must submit a Lesson Plan • Samples of student work are strongly encouraged • Must schedule a pre-conference for ALL observation • Must schedule a post-conference with teacher for ALL observations • Pre Observation form = Required for ALL observations • Post Observation form = Required for ALL observations • Framework For Teaching = All components within Domains 2&3

Pre-Conference Objective: Learn about what the teacher intends to accomplish during formal observation. • For ALL observations • Schedule with Observer prior to formal observation (can not use tool to do this) • Teacher must log into Reflect Live to complete the Pre-observation form and submit the Lesson Plan. • During Pre-conference use Reflect Live tool to: • Review Teacher’s Lesson Plan • Review Teacher’s Pre-observation form

  9. Submitting a Lesson Plan • Within Lesson Artifacts, select Add • Select Choose File to grab your lesson plan from your computer and hit Upload • You know you have successfully uploaded the Lesson Plan when it is listed as a Lesson Artifact

  10. Submitting Observation Forms • Select the arrow to open the pre or post observation form • Begin to enter responses in the text fields • Always SAVE your responses!

Performing the Observation • Your Observer will show up to your classroom on the date and time they submitted in the Observation request. • They will collect evidence on the Reflect Live platform during the lesson • They will go back to their office and link the evidence to the Framework components. • When they are finished with their notes, these notes will be made available to the teacher to review before the Post Conference • The observer will then score the lesson and complete a first draft of the final evaluation

  12. Viewing Observer Notes • To View Notes, the teacher must log back into the request

Post Observation Conference & Revision Objective: Review how the lesson went with the teacher and collaboratively revise the evaluation • Schedule with Observer to occur shortly after formal observation • Teacher must log into system and complete Post Observation and submit additional artifacts if necessary (Samples of Student work, etc.) • During Post-conference the Observer will use Reflect Live tool to: • Review teacher’s Post-Observation form • Review additional artifacts submitted by teacher • Review and revise lesson scores with teacher and discuss • Review and revise recommendations, strengths, areas of growth and overall performance • The Observer has the final say on the scores and report- But this is an opportunity for the teacher to weigh in and provide additional evidence. • Summarize observation findings in final report • Submit to teacher for final review

  14. Confirm Observation • Once teacher has reviewed the final report they “Send” it back to Evaluator • Evaluator “Confirms” final observation report • Final report can be printed out or saved as a Pdf file.

Helpful Hints for a Successful Observation • Recommended browsers- • Firefox • Safari • Chrome • Internet explorer 8 or later (some display issues) • Respond to observation requests as soon as you can- don’t let them linger • Be sure to schedule pre and post conferences with observer outside of tool
