  1. OVERVIEW OF USING CLOSED CAPTIONING ON ZOOM

Closed Captioning on Zoom platform allows the host or other meeting participants, assigned by the host to enable closed captioning in a meeting.Closed captions during a webinar are usually typed by the host, co-host or a list of people assigned by the host. Closed Captions can be typed directly via Zoom or you can integrate a third party service.

  3. VIEWING CLOSED CAPTIONS ON DESKTOP / MOBILE APP ● In a meeting, closed captions always appear at the bottom controls of the screen. ● In a webinar, closed captions always appear at the top of the screen. ● Once Closed Caption is enabled, you can view Captions at the bottom of your screen. It is always recommended to use a Third-party captioning service for producing efficient captions.

HOW TO ENABLE CLOSED CAPTIONS FROM ZOOM ACCOUNT ● Login to the Zoom Web portal ● Navigate to Account Management-> Account Settings on the left side of the menu. ● Click on Meeting Tab and verify that closed captioning option is enabled. ● Once the verification dialog box appears click on OK and the changes will be saved in the App. ● If the settings need to be mandatory for all users in your account, click the lock icon, and then click Lock to confirm the setting.

HOW TO ENABLE CLOSED CAPTIONS FOR GROUP USERS ● Login to the Zoom Web portal. ● Navigate to User Management-> Group Management ● Click the respective Group Name from the list,then navigate to the Settings tab. ● Click the Meeting tab. ● Ensure if Closed Caption is enabled. ● Once the verification dialog box appears click on OK and the changes will be saved in the App. ● If the settings need to be mandatory for all users in your account , click the lock icon , and then click Lock to confirm the setting.

HOW TO ENABLE CLOSED CAPTIONS FOR PERSONAL USE ● Log in to the Zoom Web portal. ● Click Settings on the left side of the navigation panel. ● Click the Meetings tab. ● Ensure if Closed Caption is enabled. ● Once the verification dialog box appears click on OK and the changes will be saved in the App. ● If the settings need to be mandatory for all users in your account , click the lock icon, and then click Lock to confirm the setting.

INITIATING CLOSED CAPTIONING IN A MEETING ● In a Zoom meeting or Webinar, click Closed Caption that appears on the screen. ● Click any one of these options: Assign a participant to type : A new participant window opens up. Hover over participant’s name whom you want to assign and Click More. the respective Then choose Assign to Type Closed Caption.

  8. I will type: This allows a host /co-host to manually type closed captions. Copy the API token: You can copy the URL to pass it to the third – party closed captioning service to integrate the captioning service with your meeting.

  9. TYPING CLOSED CAPTIONS AS A PARTICIPANT ● Whenever a host assigns you the right to type closed captions, a notification will appear on your Zoom screen. ● Click Closed Caption. A screen appears which allows you to type the caption in the box and press Enter to submit it.

  10. USING CLOSED CAPTIONING IN BREAKOUT ROOMS One of the best practises being a meeting host is to use a third-party closed captioning service if closed captions are required in breakout rooms. If you want your host/participant to type closed captions, ensure to assign them permission to type closed caption before initiating the breakout room sessions. Note: You can assign only one participant to type close caption, which means once you have started breakout room sessions only one breakoutroom will have closed captions. After the start of breakout room sessions, the participants in the meeting can click Closed Captioning in the meeting control to see close captions.
