  1. UMass Boston Space Planning Policy and Procedures • Implementing a New Space Request Process • Process for requesting additional space or changes to existing space has operated on an ad hoc basis • Will return to a University-wide call for space requests which will take place at least once per year and will ultimately become aligned with the budget process. • Requests will be both prioritized and “triaged” to provide alignment with strategic objectives and streamline less complex requests. • Criteria: • Centrality to UMass Boston mission and strategic plan • User productivity • Cost and anticipated Return on Investment • Availability of funding • Consideration of scale, functionality and adjacencies.

UMass Boston Space Planning Policy and Procedures • Space Requests will include: • Information on the need for and scope of the request • Updated information on departmental space use • Approval of Department Head, Dean/VC • Information on funding available or needed • “Need of the user vs. the need of the building” • SPACE Committee Work Group will review, gather additional information and provide recommendations on actions • Feedback loop to requestors will be established through the SPACE Committee Work Group • Information on requests received, status/disposition of requests and allocation of space across the University will be available on line.

UMass Boston Space Planning Policy and Procedures • Space Classification and Inventory Update • Facilities maintains information (location, size, use, etc.) for all spaces on campus • A comprehensive update is required and crucial to implementation of new policy • Needed for assessing “highest and best use”, establishing baselines for various construction or renovation project space programs, reviewing space assignments for equity and consistency • The Space Inventory data set been expanded to include information on “occupant type” to assist with ensuring equity in space allocations (done with last full update in 2010). Updates also include information on specialized equipment (fixed or moveable) and utilities within a space.
