What is TPRS? • A statewide tobacco monitoring system to record tobacco activities of the State, Primary Contractors, and Providers. • TPRS is web-based and has several modules: Administration, Planning, Program, Activities, Evaluation, Reports, Knowledge base, Utilities, Fiscal, Coalition, and Tech Support. Functions at the Primary Contractor and Provider Level Primary Contractor ·        Register Staff at Primary Contractor Level ·        Create Strategies linked to PA Deliverables ·        Create Program linked to PA Deliverables ·        Create Event Locations for their Service Area ·        May Register Participants for Attendance Tracking (Recurring) Events ·        May Enter Services (Single and Recurring) ·        May Enter Check Store Activities ·        May Check Restaurants and Vending Machines PA Division of Tobacco Prevention and Control

Administration • Primary Contractor – used to edit the information about the Primary Contractor (State only). • Service Provider – Only State can approve, add or edit the service provider’s name. Service Provider can edit their information. • Staff Info – used to add and edit staff information. • Participant Info – used to register and enter participants served. Administration • Service Area – To enter geographic units where services are provided. • Admin Hours – Used to track admin hours. • Store List – Used to assign a store to a Provider for doing enforcement checks. • Restaurant Info. – Used to assign restaurant to a Provider for doing checks. • Vending machines – PA Division of Tobacco Prevention and Control

  11. Planning • The primary Contractor is responsible for which State’s deliverables are to be targeted for services, the strategies used, service steps and outcomes in the specific county(ies). PA Division of Tobacco Prevention and Control

Programs • The primary Contractor enters the approved programs for service providers’ activities in this module. • The program is linked to the State’s deliverables. • Each program can only be linked to one State deliverable. • However you can link more than one program to the same deliverable. Activities • Service – Used to enter services into the system. • Check Store – used to track store enforcement. • Check Restaurant – used to check status of restaurants in the county. • Check Vending Machine – used to track status of cigarette vending machines. • Citation Info – To track citation information. Evaluation • Process Evaluation – • Prevention Plan by Deliverables. • Prevention Services by Deliverables. • Outcome Evaluation – • This allows the user to choose, display and print out evaluation instruments to measure participant outcome achievement. • User can find smoking benchmarks by county. Knowledge Base • Best Practice – Contains the 9 CDC best practices categories with an abstract and justification. • Data Sources – Information on obtaining secondary or archival data. • Tobacco Sites – list of web sites to obtain additional tobacco prevention and cessation information. • Library – A full text library of tobacco background information in PDF format.   21. Utilities • Change Password – Individuals can change his or her login password. • Download Data – A method to extract an individual organization’s data from the centralized database for further and more detailed analysis. PA Division of Tobacco Prevention and Control

Fiscal • Budget – Used to enter budget information (State Only). • Invoice – Used to submit invoices to the State (Primary Contractor’s Only). • Invoice Breakdown – Used to enter details of the invoice (Primary Contractor’s Only). • SP Form – Service Provider (SP) form used to subcontract activities to a Provider. Coalition • Partner – Organization registers the coalition. • Partner Staff – Used to enter members of the coalition. • Meeting Groups – A group of all Partner members that will be attending a specific Coalition meeting.
