Out of State Mailing Addresses • The Eligibility & Enrollment Unit has found current procedure is interfering with managed care pre-assignment and assignment letters which are generated by the MMIS • Pre-assignment and assignment letters are sent to the address on the case screen unlike other letters driven from the Demographic screen.

  3. Out of State Mailing Addresses • Old procedure: • Residential address placed on Case screen • Mailing address placed on Demographic screen • Effective 11/1/12 this procedure should no longer be used!

Department of Medical Assistance Services Out of State Mailing Addresses • New procedure: • Member mailing address now placed on both the Demographic screen and the Case screen. • “Same as Case Address” data field should be “Y” for Yes • The member’s physical/residential address must be placed on the MMIS Comments screen http://www.dmas.virginia.gov 4

Department of Medical Assistance Services Out of State Mailing Addresses • DMAS will cancel 012 a member if we cannot resolve both the case and demographic addresses being out of state • It is imperative to place the physical address on the Comments screen to allow verification that member resides in Virginia and to prevent DMAS cancellation http://www.dmas.virginia.gov 5

  6. Department of Medical Assistance Services Out of State Mailing Addresses The member’s out of state mailing address is now placed on the Case Data screen. Managed care pre-assignment and assignment letters are mailed to this address. http://www.dmas.virginia.gov 6

  7. Department of Medical Assistance Services Out of State Mailing Addresses Select “Y” for Yes for “Same as Case Address” data field to allow the member’s mailing address to also populate on the Member Demographic screen. http://www.dmas.virginia.gov 7

  8. Department of Medical Assistance Services Out of State Mailing Addresses The member’s residential or physical address is placed in the comments section of the Member Comment screen. This will notify DMAS that the member does reside in the VA and prevent the case from being closed out by DMAS staff. http://www.dmas.virginia.gov 8
