Authorized Agent / Security Partner User Group

This update covers HR/AB role changes, new hire/transfers/terminations, non-employee/contingent worker management, and the roll-out of the Employee Work Center. Authorized agents and security partners will receive new passwords for access.

Training Employee Work Center Training • HR Partner Advanced is being conducted in Training Tenant ( Sandbox ) for testing and training transactions • HR Security will have instructions sent by email for now. We have sent out the list of HR Partners and Security Partners that will have access to the Production Tenant . 4

New HR Role for E1 Payroll New HR Roles • Since we have the Payroll in E1, new HR Roles will be used • We will still call them HR Role but later we plan to change the HR designation to reference Payroll • Users needing access to employee history will need access to a new HR Role • New Roles are needed to separate the HR access from Payroll access. 5

EnterpriseOne User ID Employee • New Hire of employee- request for NEWID ID automatically received and given N000SS10 Role • Terminations – Request automatically received and processed to terminate • Transfers – retain the same User ID, Roles may need to be changed on the first day by the Authorized Agent 7

EnterpriseOne Contingent Workers • A non-employee having an Address Book Search Type of N • Access will be requested by the Authorized Agent • If the contingent worker exists in Employee Work Center use the Employee ID ( Address Book Number and let us know the User Name ( User ID ) • IF not in Employee Work Center send request to EnterpriseOne security for a number 8

Employee Work Center Roll-Out • User IDs and employees information will be transfer to Employee Work Center • New passwords will be sent to Authorized Agents to be distributed. • At first only HR Partner, Security Partners should receive their new passwords • Very shortly there after the passwords can be given to all employees – we will let you know 10

  11. Employee Work Center Security Partner • Is an Authorized Agent • Assist workers with accessing the Employee Work Center • Reset password as last resort- employees can reset using the Password Challenge Questions to access the system. • Reports to run an verify employee/worker access 11

Employee Work Center User Name ( User ID ) • New employee hire has the User Name automatically built and kept forever • NEWID sent to E1 • Transfers by organizational structure, could be to another agency, User Name goes with employee • User Names are never terminated or deleted. If they are rehired the same User Name is used 12

  13. Employee Work Center Contingent Worker • Only in Employee Work Center if access to agency HR data • Worker could be in E1 and not in Employee Work Center • Worker could be in Employee Work Center and not in E1 • If Contingent worker has User ID in E1 termination request must be submitted 13

Employee Work Center Roles and Security access Managers and Supervisors have access by Ogranizational Structure to employee information HR Partner ( HR20/may be HR22 Users ) access will be by request to Business Process Owner- this is not through E1 and Employee Work Center does not have a automatic process. Security Partner – requested by Agency Director or designated person. Authorized Agent and Password Reset Only Authorized Agent Other Roles could be available 14

  16. Employee Work Center When an employee transfers, the Security Partner will receive a notification to verify the employee’s access. Also check E1 to verify the access assigned is still needed. This is a sample and not the actual notification . 16

Security Update eVerify Process Update • The Employee Work Center (Workday) will house employee I-9 data for new hires beginning 4/23/2012 • Such as passports, visas, driver’s licenses, etc. • E1 will house historical I-9 data • The eVerify Confirmation Number will be entered in the Other IDs section in the Identification # field 24
