  1. The following pages will describe the steps required to identify and reconcile discrepancies between a district’s aggregate A13E&S report and a district’s student level i4see EOY submission.

  2. Reconciliation of discrepancies between A 13E/S and EOY i4see submissions (2005-06) • All students whose tuition was paid by parents or others (regardless of which sending district was shown on the A 13 E/S forms) are combined into one category entitled “State of NH (Parent Paid)”. • The receiving district entitled “Non Public Non Spedis” is for students who were submitted on the A 13OTHER form • Differences of 17 or less half days in the column entitled “DIFF” will have no impact on ADM and, therefore, do not require your attention. • All differences of 18 or more half days (including negative differences) must be reconciled. • If changes are required to the A 13E/S documents: • Contact Anne Hartshorn at 271-8307 to unlock the form(s) in the ESS system so that you may make the necessary revisions. • The correct information may then be entered, certified, printed out, signed by the Supt. and sent to the Bureau of Information Services. • If changes are required to the i4see EOY records: • Send an email to i4seehelp@ed.state.nh.us containing at least the following information:SASID, School Number, Town Responsible, District Responsible, Entry Date, Entry Code, Exit Date, Exit Code, Half Days Attendance and Half Days Absence

  3. You can access the i4see Home Page www.ed.state.nh.us/i4see • The ESS Workbench will provide you access to the i4see submission reports. • You can access the ESS Workbench from the i4see home page at www.ed.state.nh.us/i4see

  4. Login to the i4see Workbench to access the i4see reports. www.ed.state.nh.us/i4see • After you enter your login, on the next screen choose the form: “SASID, NECAP and other i4see Submissions”. • Click Edit or Upload (they both bring you to the workbench). • If you need a new user id or forgot your password, send an email to i4seehelp@ed.state.nh.us.

  5. Once in the workbench, the District Review page will provide access to the reports. • The first screen is your Workbench. All the files your district/school(s) have submitted are displayed. • You should click ‘District Review’ to access the reports that summarize (and provide detail for) the data submitted.

  6. State reports compare data across districts. The A13 E&S report will identify discrepancies between your aggregate and i4see submissions. • You must first select the type of submission you would like to review (e.g. EOY Enrollment, for the attendance reports). • At the bottom of the page you will see state level reports that identify data anomalies. • The A13 E&S report will identify any discrepancies between your aggregate (A13) and i4see (EOY) submissions.

  7. The A13 E&S Comparison shows the membership reported on the A13 E&S versus the i4see EOY submissions. • In this case the second record indicates a discrepancy of 68 half-days that must be resolved. • The other two discrepancies are both 17 days or less and, therefore, do not require further research.

  8. The ‘District Reports’ on the District Review page enable you to review your district’s data. They can also be used to help identify sources of anomalies. • Half-way down the list of district reports you will see the report “ADM Student Detail:OtherKidsMySchools”. This report should match with all the students reported on the A13E&S. • You can open this report in Excel and then print it to compare to your A13E&S report.

  9. This report details each EOY record for every student who is enrolled in your school, but whose “district responsible” indicates another district. • This report provides the detail that you can compare to your A13 E&S. • We saw a discrepancy on the prior anomaly report. This report seems to indicate that there is an extra Nashua student attending Preschool that was not reported on the A13E&S. By looking at the A13E&S this can be reviewed and if so, one of the reports should be corrected.
