  1. Scheduling a Report to Run on a Regular Basis

  2. Any Scheduled Report must indicate the school and report name Rename the Report and enter all Selection Criteria for the Report When you have finished click the Schedule Button on the bottom left

  3. You may schedule the report to run as soon as possible, • One time in the future or • Daily, Weekly or Monthly on a regular basis

  4. To run the report once in the future you should choose the Once selection. This will open the calendar gadget. Using the calendar gadget enter a date and time and then click the Schedule button

  5. To run the report Daily choose the Daily selection. This will open the calendar gadget Using the calendar gadget enter a date and time Select the number of Interval Days Every # days: 1 would be every day, 2 would be every other day… Then click the Schedule button

  6. Choose Weekly to run the report once or more during the week, this will open the calendar gadget Using the calendar gadget enter a date and time Choose the day(s) of the week the report should be run on. When finished click the schedule button

  7. Choose Monthly to run the report once or more during the month, this will open the calendar gadget Using the calendar gadget enter a date and time Enter date selections in the Days of month section. Choosing the day's of the month the report should be run on Click the schedule button when finished

  8. Let’s look at the Printing/Distribution section

  9. Send to printer: should not be used as it is for a system-wide printer Save to Finished Reports Wizard: is the default and will send the report to the Finished Reports list. Unless another choice is made this selection can not be removed. Email to Individual(s): this selection sends the entire report log and/or results directly to an email address or list of addresses. Reply to: enter a valid email address, the user entered in the Reply to field will receive any reply from the receivers. Format: [ √ ]will apply the default formatting option such as report headers, spacing, and page breaks when sending to a printer or emailing to individuals.

  10. Choose Cancel If you need to make more changes to the selection criteria or decide not to run the report When you are ready to add the report to the list of scheduled reports click the Schedule button

  11. The above confirmation box should appear showing the name, frequency, dates and times of the report You can now Schedule a new report, display a list of scheduled or finished reports or close the reports window

To see a list of scheduled reports click the Scheduled Reports wizard Since I am logged in as Reporter5, I see a list of all the scheduled reports created under this login ABC Count Item Titles is listed and scheduled to next run on 7/31/2009 at 9:53 Reports that appear in bold-type are currently suspended

  13. Remember you are just seeing those reports which were scheduled under Reporter5, there are many other scheduled reports under the administrator and the other logins. Before selecting a time please check with the System Administrator to make sure it is not in conflict with another report To the left is a sample of the 125 scheduled reports throughout the district

  14. Copy allows you to create a copy of the report, choose any new selection criteria and enter time and dates to run Remove allows you to delete your scheduled report Advanced allows you to suspend or reschedule the report Let’s look at Reschedule and Suspend

  15. Reschedule brings up the Date and Time to run selection used when creating the report. Make any changes and click the schedule button.

  16. Ownership: assigns who is able to run or see this report. Trying to change ownership under a Reporter login will result in an error message. Suspend will bring up a confirmation box. To suspend the report click Yes, otherwise Cancel

  17. A suspended report will appear in bold letters and will not run until unsuspended Clicking the Advanced button on a suspended report gives you the option to Unsuspend the report Choose the Start date Specific option and use the calendar gadget to choose a date you wish the report to start on. Choose Never If you want to remove the schedule altogether, but retain the report in the scheduled list

  18. The report is now unscheduled and ready to run
