BOARD OF GOVERNORS CAUCUS San Antonio Wednesday 8 November 2000 7:00 - 9:30pm • Room Set Up: • Open U Seating f/33 • allow plenty of space between each chair - DO NOT CROWD • 1 extra 6’ skirted table along wall for material • classroom style seating for 20-30 (provide access to electrical outlets) • Lecturn with microphone • Food: • Coffee/Tea/Soda/Mineral Water Break f/50 @ 7:15pm • Beverages must be heavy on Diet Coke - provide at least two (2) dozen • Fruit Tray, assorted cookies f/50 • Equip: • OH/Screen w/extra small skirted table beside the stand • lavaliere microphone for use @ OH • 4 table microphones @ head table of U • 1 table microphone per every three place settings for the other 2 sides of U • 9 power strips for use w/laptop computers (3 strips x 3 sides of U placed underneath the tables)

BOARD OF GOVERNORS MEETING Austin 2-3 Friday 10 November 2000 8:00- 5:00p.m. • Room Set Up: • Open U Seating f/35 • allow plenty of space between each chair - DO NOT CROWD • 1 extra 6’ skirted table along wall for materials • classroom/conference style f/20 (provide access to electrical outlets for laptop computers) • room door must be locked (or provide on-site security) during lunch break from 12:00 - 1:00pm • Equip: • OH/Screen w/extra small skirted table beside the stand • lavaliere microphone for use @ OH • 4 table microphones @ head table of U • 1 table microphone per every three place settings for the other 2 sides of U • 9 power strips for use w/laptop computers (3 strips x 3 sides of U placed underneath the tables) • provide 1 person to monitor audio equipment during the meeting • Lecturn with microphone • Food: • Breakfast No, 1 f/40 @ 8:00am • Add 2 (two) dozen bagels with cream cheese • Provide assorted cereals w/low fat and whole milk; charge on consumption • leave in room and replenish through 11:00am • Coffee/Tea/Soda/Mineral Water Break f/40 @ 1:00pm • Brownie/cookie tray (3 dozen) @ 1:00pm • Beverages must be heavy on Diet Coke - provide at least two (2) dozen
