  2. The problem UC’s approach to HR and Payroll is less efficient than similar organizations. Our current system (PPS) is built on 35-year-old technology, and was determined as early as 1991 as insufficient to meet UC’s needs. Our current system • Is difficult to use • Requires redundant data entry, manual calculations and significant paper processing • Is expensive to maintain and increasingly fragile • Creates compliance issues

UC Campuses Seek Solutions • In 2009, Campus and Medical Center Controllers, CHROs, and APDs recommended replacing PPS and agreed to work toward conforming business practices. • Five campuses/medical centers had or were in the early stages of independently implementing an HR system to augment PPS at each location. • Additional locations were each considering a similar approach. Opportunityto take a more highly-leveraged approach to gain operational efficiencies

A Single, Integrated Approach • Standardize and streamline payroll and HR processesUC-wide • Centralize transactional related processes within the UCPath shared services center • Replace PPS with a single new payroll and HR technologysystem • STREAMLINED, STANDARDIZED PROCESSES • SHARED SERVICES CENTER • NEW TECHNOLOGY

Shared Services • Routine transaction processing • and • employee support • will be provided by • the UCPath Center. • Payroll (e.g., payroll adjustments) • Benefits(e.g., COBRA notices, open enrollment) • Finance/GL integration(e.g., salary cost transfers) • Absence management(e.g., direct billing, leave administration) • Compensation (e.g., additional/ supplemental pay, mass pay change) • Workforce administration (e.g., employment verification, new hires)

Benefits • Modern Technology • A single integrated payroll and HR solution which is automated, efficient and accurate • Consistent, quality data for reporting and decision-making • The ability for employees to access and change more information online • Visibility and tracking of requests and issues • Consistent, High Quality Service • Additional hours of support and staff coverage • Streamlined processing of routine transactions • Repeatable, trackable, responsive service level • Routine feedback opportunities • Lower Cost Over Time • Experience at other institutions has demonstrated that, over time, UC can expect to deliver payroll and HR services at a lower cost.

  8. UCPath Self Service Staff, faculty, and student employees will be able to use UCPath online to: • Submit questions • Track requests in the ticketing system • Look up answers in a knowledge base • Review/Change certain employee information directly in the system

  9. Supervisor Area Those who manage staff will use the UCPath online to: • Approve certain transactions through automated approval routing tools • Review the status of transactions and approvals in the process • Obtain data for analysis and reporting • Find management and support information

  10. Support from the UCPath Center UC staff, faculty, and managers will be able to contact the UCPath Center for support online (via the UCPath Portal), by phone, or by e-mail.
