  3. CH Account Setup- Demographics • Date of Birth • The date of birth is not required for the USPS. Please do not enter information into this field. • Tax Exempt Number • Your Tax ID number will emboss on all accounts and will appear in the Organization Name field in Access Online. The Tax Exempt field here is not the same. You may reenter your Tax Exempt number here if you want it to display in reporting, but it is NOT required.

  4. Cardholder Account Setup-Demographics • Third Line Embossing • This information will emboss on the card above the cardholders name. For Expense and Capitol Cards, please enter the card type and the Finance Number. For Vehicle Maintenance please enter VEHPARTS, and INVPARTS for Inventory Parts, and RD for Research & Development cards. • Email Address • This is required for USPS. Please enter the email address for your cardholder

  5. CH Account Setup-Demographics DOB is not required Tax Exempt is not required in this field for USPS This will be embossed on card. For Expense and Capitol Cards, please enter the card type and the Finance Number. For Vehicle Maintenance please enter VEHPARTS, and INVPARTS for Inventory Parts, and RD for Research & Development cards.

  6. Cardholder Setup-Account Information • Please remember to enter the company number • The USPS Tax ID number will appear in the Organization Name field under Account information- please do not change this information- it is setup to emboss on the cards • It will take one week from the time you set up a new CCAO account for the Tax ID default to appear • If you have to set up a CH acct immediately, please contact your AC

  7. Account Setup-Account Information Remember to enter the Company Number- this ties it to the CCAO

  8. Account Setup-Account Information If you would like the card shipped somewhere other than the CH address, enter it here. This replaces the “P4” in Rocky Reporting Hierarchy will pre-fill, based on agent & company number. Please verify everything is correct

  9. Cardholder Account-DAC • Please enter your Finance Number in the first segment • In the second segment, please enter a period “.” • In the third segment, please enter in the account type or look it up by clicking on the magnifying glass.

Account Setup-Authorization Limits • The Single Purchase Limit, Cycle Limit and Credit Limit will be required for all USPS cardholders • No SPL’s shall be greater than 10,000 unless a special deviation is received from M. Martinez • The cycle limit is a required field, but it should be the same as the credit limit for the cardholder

  12. Account Setup- Authorization Limits • When selecting the MCCG codes for the account, please remember to always select both MCCG and MCCGA- there are two codes for every former MAT code. Both need to be added to the accounts • When selecting the MCCG, do not enter any limits for that MCCG. Just click continue through the screens

  13. Account Setup-Authorization Limits The cycle limit should be the same as the credit limit for the CH You do not need to enter anything under cycle transaction or custom velocity limits

  14. Don’t forget to click on “add a control” to add the MCCGs to a cardholder account

  17. Select the MCCG that you’re looking for. We’ll use MCCG111 as an example

  18. Once the MCCG is selected, click on Continue

  22. Now the MCCG has been added. Repeat the steps to add the MCCG with an A at the end. You need the complete pair. (For example, when completed you could see MCCG288 & MCCG288A.)

  23. You have completed your Account Setup! You can always check the status in the Request Status Queue

Account Maintenance • You can close and reopen a CH account • You can now easily move a CH from one CCAO to another • When moving a CH remember to reenter the default account code or the account will show up on the error report • You now have an “alternate address” field to use. If you do not see this on the account, please contact your AC

Account Maintenance • You will still need to submit a CH maintenance form to update a Cardholders Last Name or to add or remove a middle initial • Card reissuance- If there is any maintenance to an account, including card activation, you cannot order a replacement card online for 30 days from the date of the maintenance. • If reorder button is not activated, please contact Customer service at 1-888 994-6722

  30. Managing Account Setup • This is similar to the account setup screens • Cycle limit is required on the MA or CCAO account. The cycle limit is the same as the old Rocky office limit. It should be the total of cardholder limits under that CCAO • The credit limit should be 3x the cycle limit to accommodate for a rolling balance

  31. Managing Account Setup(Cont) • Under Default accounting code, please enter 111111 under Finance number and choose “No DAC” for the account number • In SPL please put 10,000. This is a required field. This will prohibit any CH from going over 10,000 for their SPL

Managing Account Setup • The CCAO account takes 2 days to complete a full setup • Once you have submitted the request, the system will automatically build a new company number for you and then assign that company number to the account • Once that process is complete, you can add cardholders under that CCAO • You can always check the status of the request in the Request Status Queue of Access Online • This process allows all reporting to be “in synch” with the background system, so all reports will always reflect the same information that you see under account inquiry

  35. “Acquiring” a Transaction • If you have difficulty getting to a transaction and see in the request status queue that is has been “acquired”, the user who acquired it must “file for later” so that you can access it • This prevents two people from maintaining an account at the same time or overwriting each other’s maintenance or setup • The user Id of the acquirer is listed in the queue

Transaction Authorizations • To view real time declined transactions • Go to account information • Go to cardholder account profile • Look up account by number or name • Go to Account Authorizations • There is a quick reference guide titled “Common Decline Reasons” -this is a great reference tool !
