New iREV Tool • Generally, the less time you allow for a revision (i.e., closer to ship date), the higher the cost impact and the longer the lead time (escalation factors). • If the change is related to a YORKworks selectable option, the order can be changed and submitted with the iREV output. No SQ will be required. • If the change is something that would require an SQ, an SQ must be submitted along with the iREV output. • The SQ will be answered as if it were a new order. • Charges associated with disruption to the plant are handled via the iREV Tool. • Like today, revisions cannot be submitted on the first or last day of the month.

New iREV Tool • This currently only applies to YK chillers. • The plan is have YMC², YR, YS, & YD added by 12/31/11. • iREV is located on the portal where the old Rev Matrix and Lead Time Report are located. • Products & Services / Sales / North America / Field Sales Support / Docs, Info & Tools / Revisions • Always access the iREV tool off the portal to ensure the latest version is used.

  7. How to Use The iREV Tool • Two Examples: • Adding “Ceramic Coating” • Option that is not selectable in YORKworks and will require an SQ • Adding “QC Documents” • Option that is selectable in YORKworks (no SQ required)

  8. Example #1 – Adding Ceramic Coating From the drop down list, select the appropriate revision type. In this case, select “Ceramic Coating” as the revision type. In this example, an SQ is also required since this option is not selectable in YORKworks. Notice the “Help Text” that appears when you hover over a revision type. If you can’t find the appropriate revision type, select “Other”.

  9. Example #1 – Adding Ceramic Coating Enter the following information: YORK Contract Number Order Number Number of Chillers Unit Model Number Customer Project Name Sales Engineer Phone Number

  10. Example #1 – Adding Ceramic Coating Enter the ship date. Clicking in the green box will pop up a calendar from which you can select a date. In this case, the ship date is 12/16/11.

  11. Example #1 – Adding Ceramic Coating • Once the information on page 1 is filled out, go to Page 2. • You can either: • Click on “Page 2 – Chiller Details” • or • Click on “Next Page”.

  12. Example #1 – Adding Ceramic Coating Details regarding the existing order as-is (Prior to the revision) are specified on Page 2. Specify the following: • Evap DWP • Evap Hinges/Davits • Cond DWP • Cond Hinges/Davits • Epoxy Coating • Starter Type • Motor Voltage • Special Paint • Shipment Form

Example #1 – Adding Ceramic Coating Then, check any other options that apply – prior to this revision - from the list: • Eddy Current Testing • Customer Witness of Panel Functional Test • Customer Witness of Compressor Air Run Test • Customer Witness of Shell-side Strength Test • Customer Witness of Tube-side Strength Test • Customer Witness of Shells Refrigerant Leak Test • Customer Witness of Assembly Run-in/Vibration Test • Customer Witness of Assembly Vacuum Hold Test • Factory Performance Test • Witness • Non-witness • Final Inspection

  14. Example #1 – Adding Ceramic Coating Let’s assume there are hinges on the condenser water boxes. Let’s also assume there is an eddy current test as well as a customer witness of assembly run-in test. Remember: These are the details regarding the existing order as-is (Prior to the revision). Click on “OK”.

Example #1 – Adding Ceramic Coating • A dialogue box will appear that will allow the user to save the file that is being generated. • Choose the file name and location and then click on “Save”. • Notice that the default file name includes the contract number, project name, and type of revision.

  16. Example #1 – Adding Ceramic Coating • A message box will appear that shows where the file was saved. • Click on “OK”. • Hint: Use <Ctrl-Tab> to return to any workbook that was being viewed previously.

Example #1 – Adding Ceramic Coating 1. • The first block of information contains the contract details as entered on page 1. • You will notice a note that reads, “$780 MLP of this total is a per-order administration fee.” • If submitting two or more changes on a given order revision, this admin fee needs to be included only once.

  18. Example #1 – Adding Ceramic Coating The second block of information contains the Cost and Schedule Impact of the Proposed Revision. So, for this example, if the revision comes in by 8/30/11, the ship date will be changed from 12/16/11 to 12/27/11. The price add for making this revision by 8/30/11 will be $1,528 MLP. This is in addition to the SQ pricing. 2.

  19. Example #1 – Adding Ceramic Coating If the revision had come in after 8/30/11 but not after 11/9/11, the ship date would have changed from 12/16/11 to 1/5/12 ($5,836 MLP). If the revision came in after 11/9/11 but not after 11/29/11, the lead time would have changed from 12/16/11 to 1/26/12 ($9,724 MLP). If the revision came in after 11/29/11 but not after 12/15/11, the lead time would have changed from 12/16/11 to 2/2/12 ($13,996 MLP). 2.

  20. Example #1 – Adding Ceramic Coating The third block of information consists of the chiller details that were filled out on page 2. This information is used to determine the cost and schedule impact. You should double-check the accuracy of the dark red text. The fourth block of information consists of any field notes that were typed in on page 1. The fifth block gives Customer Service an area to enter cost and schedule impacts in the case that a revision type falls outside the scope of the tool. 3. 4. 5.

  22. Adding the Revision to the Order Now that you have the iREV output sheet, the dollars for the revision should be submitted under the “SQ” button in the YORKworks BOM. Click on the “SQ” button. Note: We have submitted a work order ticket to add a “Revision” button in YORKworks, but it has not been implemented yet.

  23. Adding the Revision to the Order When you click on the “SQ” button, the following screen will pop-up. Click on the “Add” button.

  24. Adding the Revision to the Order Details from the iREV output sheet will be entered here. Assume the revision was sent to Order Entry after 11/9/11 but not after 11/29/11.   25. Adding the Revision to the Order In this case, two SQs must be entered – one based on the iREV output sheet and one from the actual SQ. The Application Engineering Team will provide a quote for the ceramic coating. Information from the SQ would be entered under the “SQ” button as well.   26. Adding the Revision to the Order You will notice that two SQs have been entered – one from the actual SQ and the other for the iREV. iREV Charges SQ Charges

Example 2 – QC Documents • In this case, there is a revision for “QC Documents”. • No SQ from the Application Engineering Team is required as the option can be selected in YORKworks. • Assume that the revision will be submitted to Order Entry after 9/20/11 but not after 12/15/11. • The pricing for the iREV is $2,988 MLP. • The iREV pricing is added to the FOF using the “SQ” button in YORKworks.

  28. Example #2 – Adding QC Documents • In this case, “QC Documents” is added to the FOF and circled. • No SQ from the Application Engineering Team is required as the option can be selected in YORKworks. • The iREV pricing ($2,988 MLP) is added to the FOF using the “SQ” button in YORKworks.

  29. Adding the Revision to the Order • Dollars for the revision will be added as an “SQ” based on the iREV output • Need to post re-estimate • Branch Manager must approve re-estimate • Print out “Circled FOF Cover Sheet” (after re-estimate has been approved)

  30. Adding the Revision to the Order • Print out the Factory Order Form. Circle Changes. • Fax circled FOF in along with the Cover Page and iREV output page • Can use Adobe Acrobat (or free PDFCreator) to attach iREV and circled changes on FOF and upload

Summary • For the majority of standard changes, the salesperson can assess the cost and lead time impact within secondsand submit a revision much more quickly. • The new iREV tool will also provide “trigger” dates (i.e., the dates that you submit a revision that will trigger a higher cost or a longer lead time impact). • Effective October 1, 2011, revisions must use iREV tool. Rev Matrix will no longer be honored (for YK).
