  1. WELCOME TO ALIV & ITS STRUCTURE

  2. ABOUT ALIV

  3. ALIV is a non-politically or religiously organization whose main objective is to improve the lives of children, families and adults inside Australian immigration detention and those disadvantaged by bridging visas by utilizing the skills and energy of fantastic Australian volunteers.

  4. Previous countries, migrating to Australia and the Immigration system can all have a negative effect on the lives and development of children and adults. Making it very difficult to start a new life here in Australia.

  5. OUR PHILOSOPHY

  6. There are many views, perspectives and opinions around issues regarding refugees and detention centers, whichever side of the fence you sit on in regards to these issues, ALIV believes that children and many adults are in a situation which is beyond their control and are innocent in these issues.

  7. ALIV has no opinion in regards to any of the politics or the debate currently going on in regards to refugees and detention centers.

  8. ALIV aims to increase the quality of life of these children, families and adults, we have no other agenda except to have lots of fun doing it. We increase the smiles and laughter in the lives of children, families and detainees, but also aim to do the same for the volunteers who are involved.

  9. Our primary goal is to make life as enjoyable as possible for children, families and adults living in immigration detention and those disadvantaged by bridging visas • we aim to continue to do so until someone puts us out of business because there are no more children and adults to help.

  21. Communication Process • Volunteer commits to the 12 program dates for the year. • On a designated day the volunteer rings or emails the team leader to confirm they are coming. • Team leader then contacts the coordinator informing how many volunteers they have for the program.

  22. MON 1 TUE 1 THU 1 FRI 1 SAT 1 SUN 1 MON 2 TUE 2 THU 2 FRI 2 SAT 2 SUN 2 • If your program was on Saturday 4 you would then be required to contact your team leader before Thu 3. • The team leader would then contact the coordinator no later than Friday 3 • The programs admin could then be finalized on Saturday 3 MON 3 TUE 3 THU 3 FRI 3 SAT 3 SUN 3 MON 4 TUE 4 THU 4 FRI 4 SAT 4 SUN 4

  23. If this procedure is not followed or volunteers pull out without enough warning to find a replacement then the Saturday 3 Admin team would spend all its time trying to chase people up and find fill ins for the up and coming program. • Many volunteers have been guilty of not following this procedure and then also complain that a program had to be cancelled or it may not have been as good as all had hoped. • The reality of a volunteer organization like this is that when volunteers follow this communication procedure the organization’s admin team then has the time and ability to expand the organization and help more children, families and adults

  24. What if you can’t make your scheduled day • Notify your team leader with as much notice as possible and nominate another program you can do instead • Volunteering needs to be and should be flexible so as to not get in the way of life and or other commitments • But this only works when you replace the day you miss • 12 programs a years is not a lot

  25. GETTING INVOLVED IN THE COMMITTEE OR HELPING OUT • COMMITTEE MEETINGS ARE HELD Sat 1 & sat 3 most programs are held on sat 2 & sat 4 • ALL VOLUNTEERS WELCOME TO COMMITTEE MEETINGS • Volunteers are asked to do 4 hours a month admin if they wish to or one Saturday a month admin

  26. ALIV PROGRAM POLICIES IN BRIEF • No program will be run without the prior approval of ALIV management • There is one volunteer for each child on all programs • A volunteer is never to be alone with a child (2 Volunteers Minimum) • Volunteers will not leave a child/children alone if the parent is not at home when they drop the child/children off

  27. Volunteers will respect the privacy of children, families and adults • Volunteers will report any child injuries, concerns or child protection issues immediately to their team leader • There is no smoking on ALIV programs between starting and finishing times including leaving the group for a smoke brake. Volunteers are not to turn up to programs smelling of smoke

  28. One kids programs volunteers are required to carry their mobiles but have them turned off. They are only to be used incase of an emergency or is instructed by ALIV management. • No phones are to be taken into immigration detention centers or on programs where GSL security staff are present. Any emergency calls are to be done through them. • These policies are in place for the protection of the volunteers as well as for the children and families we work with • There are NO exceptions to these policies except where they conflict with the law or the safety of others.

  29. TURNING UP LATE TO PROGRAMS • Both children and adults programs can be affected a lot by late volunteers. Many times the enjoyment of the program from the volunteer and children’s point of view can be lessoned by standing around and waiting for others to turn up. • In the case of working within the detention centers it is not usually possible for volunteers to go into the center at multiple times.

  30. For this reason it is recommended that volunteers should plan to be at a location 15mins before the scheduled time. • In other words if you are due to be there by 11 am then as of 10:50am you are late • Things that volunteers need to consider in managing time are: • Traffic • Children not ready on time • Miscalculation of estimation of travel time

  31. VOLUNTEERS PULLING OUT AT LAST MINUTE • A major problem with programs is when volunteers pull out at the last minute. • It leaves more work load for other volunteers and decreases enjoyment of programs. • Kids and adults get less than optimal attention • This also can stress the management volunteers who are running around trying to find more volunteers to prevent cancellation of programs • All staff in ALIV are volunteers and they also have the right to enjoy there work. Volunteers not being responsible get in the way of this.

  32. Leaving programs early • From time to time volunteers need to leave early • This can create problems if it is not previously approved and planned • Volunteers need to notify Team leaders a week before when they confirm their attendance that they must leave early • We will usually appreciate the time you can provide but these kind of things need to be approved in advance incase we need to find another volunteer to fill in for the hours you won’t be there

  33. VOLUNTEER ROLES & RESPONSIBILITIES

  34. Have fun, enjoy! • Contribute what you can, when you can (time, energy, resources etc) (see roles later) • Membership (When join) & (July) • $30 annually • Towards programs, equipment (art, drama, toys), running org

  35. VOLUNTEER DEBRIEFING

  36. VOLUNTEER DEBRIEFING • Debriefing after a program is a very important part of volunteering with ALIV. The purpose of debriefing is to ensure any child protection issues, concerns about families and adults are reported as soon as possible. • To also ensure volunteers remain happy by communicating anything that pleased or worried them about the program or any other concerns they have. • As the welfare of the children is a primary aim of ALIV, we take child protection very seriously and any concerns about children must be reported ASAP.

  37. Volunteers will need to fill out a report after every program about the child they were assigned to and also their own experience. • Adult programs need to fill out a diary entry where they report any concerns that they notice. In some Adult programs you can deal with over a hundred people at once and it isn’t realistic to make individual reports. • If a volunteer remembers an incident that needs to be reported that they forgot to include on their debrief sheet, or they notice something after they have left the program they should contact the volunteer manager as soon as it is appropriate.

  38. If a volunteer has a problem/concern/issue etc about the program or the children or anything at all and feel they wish to talk to someone they should discuss it with their team leader first. If they feel uncomfortable doing this they should discuss it with a coordinator or other ALIV committee member. • Professional help can be arranged should after speaking with the committee the volunteer is still having problems. • Anything that is put on their debriefing form will be read by the committee unedited

  39. If a volunteer has a complaint about a member of the ALIV management they should report it to the President if they feel uncomfortable with the standard lines. If the complaint is about the President the Vice President should be contacted. • ALIV encourages open, honest communication between all volunteers. • ALIV encourages volunteers to comment on positive and negative aspects of programs to ensure our programs are the best that they can be. We are always looking to improve things so volunteer feedback is always welcome.

  40. Debrief sheet • Most programs have a different debrief sheet as the goals of each program are different • but all are usually self explanatory.
