  3. Websiteswww.imMTrax.mt.gov and www.immunization.mt.gov If you have a new employee that would like access to imMTrax, you can find the forms on our website under imMTrax forms. Please make sure that you are using the updated forms posted so it does not delay receiving access.

  4. Medical Home Associations Displayed This pulls from the Medical Home Association Field. This box displays only and can not be altered by any user.

  5. Zip Codes and City You are only able to populate the city by selecting the appropriate zip code first. If you don’t see a zip code that you need to enter contact the Immunization Program at 444-5580 to add it to imMTrax.

  6. Reminder RecallText Phone Option The Recall Notices box must be checked for patients to show up on the reminder recall options. If you select a Preferred Method of Recall, you must have that method populated within the telephone fields.

  7. Reminder RecallContinued.. To generate the reminder recalls select “Request Reminder” on the left menu. Once this shows select the criteria you want to run the reminder recalls for. Once you have all this populated click on “Generate”. Once it generates it will display the date hyperlinked to select the results of the reminder recall you would like to run.

  8. Reminder RecallResults Shown above is all the options that imMTrax has to generate automatic reminder recalls based on the data that is in imMTrax.

  9. Updates to the School Entry Form If a Tdap was administered a # symbol will appear next to the date. If a shot is invalid, it will be displayed with a ^ symbol for easy identification. Key for reading the School Entry Form

  10. Integrated Reconciliation Screen If you track your private and public vaccine inventory within imMTrax you will now be able to easily view both when reconciling. This will be displayed in the same order as on the “Show Inventory” page with a N for private and a Y for public. Reminder: All sites need to enter cold chain data and reconcile vaccine inventory each month regardless of whether you order vaccine or not. Also, all inventory must match the refrigerator count when pushing “Save and Submit.”

  11. Billing Extract Report (Integrated Providers only) Reminder: There is the “Data Extract for Billing” report available for all integrated providers using imMTrax. This report provides detailed information for patients that you have administered shots to. Below are the columns that populate with information when you generate this report.

  12. What is incorrect with this Billing Extract Report?? **All the above except Public Underinsured-VFC Public vaccine can not be administered to “Not Eligible” as a status and to “Unknown or Undetermined” because all clinics are required to check and track eligibility status correctly.

  13. How to correct Billing Extract Report if there are “Unknown or Undetermined?? To change the VFC Eligibility status field navigate to the shot that was entered incorrectly and pull the drop box down and select the correct eligibility for that shot.

  14. Vaccine Usage Report (Integrated Providers only) There is the “Request Vaccine Usage” report available for all integrated providers using imMTrax. This report provides information about your vaccine usage for a specific time frame that you enter in for your report criteria. When running this report make sure that you specify which site you would like to include in your report Criteria and click “Generate Report.”

  15. Tips to Look For.. Why is the varicella invalid?? When you see an invalid varicella or MMR double-check to see that it was not a data entry error since they are both live vaccines and need to be administered 28 days apart.  Please also remember that LAIV also needs to have a 28 day spacing when administering.

  16. Transferring/Receiving Vaccine When transferring to another clinic click on “Manage Transfers” When receiving from a clinic click on “Manage Orders”

Quick Reminders • Read all imMTrax Announcements • Update your cold storage units in imMTrax and reconcile your inventory monthly even if you don’t order! • If you receive Varicella and ProQuad, you must notify the Immunization Program when it arrives how many doses, what presentation, and the expiration date. • If you transfer vaccine or accept vaccine from another clinic, please remember to transfer and accept the vaccine in imMTrax. • If you see something that is out of the ordinary when working in imMTrax, please contact us!
