Welcome Welcome! • Voltage email encryption is used to protect sensitive and personal information sent via email to external clients.By using Voltage encryption, only the intended recipients can view the confidential information contained.For the purpose of this training course there are two types of Voltage user defined: • A DoE user is defined as an employee with the Department of Energy (DoE) within the Government of Alberta, who has an email address ending with @gov.ab.ca • A Non-GoA user is defined as an individual who is not with the DoE and does not have an email address ending with @gov.ab.ca • To the Voltage • Online Training Course

  4. Usage Overview Diagram DoE and Non-GoA users can send encrypted email to each other by creating a new email message through the process described in this training course. A Non-GoA user is able to do this using the Voltage Zero Download Messengerwhich explained in detail on the next page. A DoE user has the ability to reply securely to an encrypted email from a Non-GoAuser. As well, a Non-GoAuser can reply to an encrypted message from a DoE user and it will also be sent securely.

Zero Download Messenger The Voltage Zero Download Messengerprovides Voltage encryption in a Web-based interface, enabling DoE and Non-GoA users to send, receive, forward, and reply to secure messages with no additional software required. Secure email is delivered to the user’s inbox and can be decrypted with any web browser.

Non-GoA User Send and Reply Diagram Figure A: A Non-GoA user can send encrypted emails to multiple recipients but must include at least one @gov.ab.ca address for encryption to work.Figure B: If a Non-GoA user sends email to multiple recipients and NONE of them are a @gov.ab.ca address then encryption will not take place. This prevents Non-GoA users from using DoE encryption for purposes not associated with the Government of Alberta.

Create Voltage Secure Mail ID Show Me • When setting up a Voltage SecureMail ID it is important to remember the two following business rules: • All fields must be filled in • Passwords must have at least one capital character and one number • Accounts are based on the email used to register. Each email address you receive Voltage encrypted emails on will require a separate account

Composing Secure Email Show Me • In addition to replying to secure email, you can also compose and send secure email with the following requirements to be met: • A @gov.ab.caemail address must be present in the recipient field in order for encryption to occur. • You must have already received a Voltage Secure email and previously registered by the process of receiving/viewing that email.

Frequently Asked Questions Q: How can a non-GoA user send an updated version of a file attachment that was previously sent to them in an encrypted email?A: Save the file to a location of your choice while you have the original encrypted e-mail open, make updates and save them to the file in that location, reply to the original message, attach the updated saved file and click on Send Secure button. Note the new updated file sent in the encrypted reply will have newly added information.Q: How can a non-GoA user send a new (not a reply) encrypted message (with attachment if required) to DoE users?A: Open the following web page https://securemail.gov.ab.ca/login , enter your previously registered non-GoA email address, click Sign In, enter the password with which you previously registered your non-GoA email address with, click Sign In, compose your message to the first.last@gov.ab.ca DoE user and click on Send Secure.

Frequently Asked Questions Page 2 Q: If not previously registered by the process of receiving/viewing of an encrypted email from DoE user, how can a non-GoA user register to use this voltage service to send an encrypted message to DoE users?A: Open the following web page https://securemail.gov.ab.ca/login , enter your non-GoA email address, click Sign In, enter and verify a new password and recovery question, click Continue, check your normal non-GoA email account inbox for an Email Verification sent to it, open the email, click on the link provided, compose your message to the first.last@gov.ab.ca DoE user and click on Send Secure.Q: How long can a non-GoA user access an encrypted message sent to them?A: Encrypted messages will continue to be accessible to the non-GoA user that received them as long as the Department of Energy continues to provide this service. Note however that previously viewed verification emails will display an error message when you open and again click the hyperlinks contained in them. This only affects the original verification email sent to you when you registered your email address and its password.
