What is Work-Study? • Students earn $9.86 as a base pay • A way for students to gain skills and knowledge around working • Student’s earned work-study does not count as income for future financial aid • Departments can employ students with little to no cost to their department Eligible students earn income to meet the Cost Of Attendance by working in a university position.

  3. Steps To Hiring Work-Study • Determine if you want work-study students • Create a job description on work-study website • Advertise your job – Handshake • Choose who you want to hire • Communicate directly with the students who applied for your position • Hire students by using the work-study website • Allow time for Student Financial Services to confirm hire • Print work-study contracts and complete other employment paperwork if needed

Determine If You Want WKS Students • Who can hire work-study students? • Any department, but the position needs to be a trainable position • What will it cost my department? • Typically nothing, unless you are a “Revenue Generating” department • How much work do we have? • This will determine how many work-study students you need/want • Who will hire/supervise them? • Determine resources for hiring, interviewing, and supervising

Advertise Your Job • This is how students will know you are hiring • Advertise your job through as many means necessary • Handshake, Talking with previous employees, Flyers, Job fairs • What if my pervious students want to come back? • Use the work-study website to hire them but consider: • Have they been awarded financial aid yet? • Have they confirmed with you that they want to return to your office? • Timing: Students will be awarded financial aid starting in late June/early July for the 2019-2020 academic year

Advantages to Using Handshake • Only work-study eligible students can apply to postings • All students get an account • You get to choose what to ask for – resume, work-study application, etc. • By being detailed in your position description on Handshake you can narrow your search • HANDSHAKE DOES NOT HIRE STUDENTS!! • Attend the CDCs presentation on Best Hiring Practices and Handshake!Ostrander Auditorium, May 20th @ 10:30am

Choose Who to Hire • What was your hiring process like? • You get to choose how to move forward in the hiring process: • Interview • Hire directly off application • Be knowledgeable in best hiring practices • What can I legally ask (or not ask) an interviewee? • You need to officially offer them a job • They need to opportunity to accept or decline

  11. Student Financial Services - Confirms • Your request to hire a student first has to be confirmed by Student Financial Services • We review your request • This can take a few days, but we review as quickly as possible • After the request has been confirmed you can print off contracts

  13. Employer/ Supervisor Hints • Students can not begin working until the first day of the semester. You may ask if they would like to come in to sign paperwork, but can not be required to do so • Orientation • What are the things you expect from your students and is it clearly outlined for them • What training do they need? • Employee Recognition • Potlucks to appreciate students • Scholarships • Employee awards/recognition

  14. Employee/Student Expectations Outlined on the work-study contract: Terms of Employment: • You are expected to provide punctual, professional and cooperative performance. If illness or unforeseen circumstances prevent you from working you must notify your supervisor in advance. Excessive or unexcused absences may jeopardize your employment. • You will treat student and university records and data in a confidential manner. Discuss and understand the departmental policy concerning this matter. Violation of confidentiality may jeopardize your employment. • You agree to remain employed at the above location for the length of the contract. If you must leave your assignment prior to the end of the contract you must provide your assignment with a two week notice and notify Student Financial Services. • You must enroll in at least 6 undergraduate credits per semester to remain eligible for your work-study employment. You must notify your supervisor of any enrollment changes.

  15. Termination Preferably to be completed with student as you notify them, but we understand not all situations will allow this.

  20. What it looks like for students • Accept, Decline, or Reduce • Upon accepting, students will receive communication instructing them to find and apply for positions
