Demarcation Communication Plan Need: • Introduce AEMERA • Communicate functions that will be included and the folks initially moving over • Gain understanding of what concerns/questions managers/staff may Goals/Objectives: • Identify the AEMERA activities required to support individuals moving to AEMERA as part of the change management strategy • Identify areas to work with ESRD to coordinate communications and messages where appropriate Audiences: • Internal • Managers • Staff • ESRD • Other IRMS government departments • External Timeline: • April 1– Final direction/decision on demarcation; outline process mapping • April 15 –Secondment agreements completed; process mapping completed • Mid- to Late April – Proclamation

Demarcation Communication Plan Approach: March 20 to April 8 • Call with Monitoring Staff (March 20) • Brad/Bill meet with Managers (on-going/as required) • Meeting with JOSM Team (March 26) Thursday, April 3 • Begin weekly updates to AEMERA staff Friday, April 4 • Begin sharing weekly updates in ESRD e-newsletter Week of April 7 • Distribute manager’s tool kit (q&a; key messages; overview of AEMERA) • Brad and Bill meet will all staff • Distribute individual info kits/letters to employees (overview of AEMERA; q&a) • Meeting with AUPE (who – Mike … and Brad?) • E-mail to send to all ESRD staff – joint message from Bill and Brad • E-mail to other relevant government departments • Team leads meetings with individual groups/business units for specific implications • Meetings with individuals re: secondment agreements and options

Demarcation Communication Plan Moving forward (April and beyond): • Weekly updates to AEMERA Staff • Weekly updates in ESRD e-newsletter • Interactive process to answer questions going forward and share answers globally • Engage all members of AEMERA team in building organization and planning • Internal communications plan for all AEMERA team members as part of launch

Demarcation Communication Plan Tools: • Key messages (ESRD Communications/Val/Avy) • Q & A (ESRD Communications/Val/Avy) • Individual HR specific information and communication pieces (letters/secondment agreements) (Avy) • Additional information on AEMERA (Val) • AEMERA Orientation Kit (re: launch) (Based on elements;TBD) Outstanding Decisions: • Confirm timing of decision/ability to execute • Confirm who and when of meeting with AUPE • General timeline for AEMERA permanent staffing

March 12th • Follow up with ESRD Communications -- ASAP • Finalize comm plan/messages for review by Bill and Brad -- by March 14 • Prepare final materials for execution -- by March 19
