  3. Role of the Purchasing Department • The Purchasing Dept has more contact with outside businesses than any other department within the District. • It is the representative of the District in its business relations. • Vendor relations are both an Opportunity and a Responsibility.

  4. What is a policy of good will? • It means being fair and considerate in all business dealings. • All negotiations should be Win-Win. • Be honest and straightforward with vendors. • Never make assumptions.

  5. Know With Whom You are Doing Business • Check references. • Check financial statements. • Ask for product samples.

  6. Vendor Education • Explain to them what the District expects from its vendors. • Provide a map of the District. • Provide business hours of the District. • Never make assumptions that they know what you want or need.

  7. Examples: On-Site Deliveries to Campuses with no loading dock availability. Full assembly for all items delivered. Hours for delivery of items.

  8. Contract Awards • If a vendor has not been awarded a contract, let that salesperson or vendor representative know. • Salespeople make a living from the commissions of their sales, if you are a NO SALE, they need to move on to their next prospect.

  9. So What if Things go WRONG? • Remember there are two sides to every story. • You may have to bring out your negotiation skills to satisfy both sides.

  10. Treasure the Good Ones. • Remember it takes time to build good relationships. • Give weight to the criteria of prior business with the District in your evaluations.
