UCAS – Universities and Colleges Admissions system • Covers application to 50,000+ full time courses in over 300 colleges and universities in England, Scotland, Wales and Northern Ireland. • All applications are now completed using the online system ‘apply’ at www.ucas.com. • Application Fee 2011 Entry: £11 for 1 course and £21 for > 1 courses. 2012 Entry – small increase to £22. • 2010 was a record breaking year for UCAS with 474,746 Applicants accepted onto a course – now very competitive.

MAY • Receive username and password for online application system “Apply” by post. • If school is not a registered UCAS centre, contact UCAS by email at customerdatabase@ucas.co.uk • Log in to Apply staff section and set up school details, contact details, buzzword, payment options, etc. • School needs to be registered with UCAS for 2 reasons: • To receive regular information / correspondence from UCAS • To receive username / password for Apply

  5. MAY • Give presentation to all pre-Leaving Certificate students to introduce UCAS and the idea of applying to college in the UK. • Identify small group of interested applicants & work with them. Always a good idea to start with the Personal Statement. • Personal Statement • Video on PS on UCAS.tv • PS guidelines on UCAS.com • PS samples (past pupils, google, etc.) • PS publications, e.g. COA • First Draft to be submitted before continuing with application.

BMAT – British Medical Admissions Test www.bmat.org.uk Medicine, Veterinary & Health Science Courses Key dates and Information Standard entry closing date: 30th September 2010 Standard entry fees will apply until 5pm GMT Last date for BMAT Entries: 15th October 2010 Late entry fees will apply until 5pm GMT. No entries will be accepted after this date. BMAT takes place: 3rd November 2010 BMAT results released: 1st December 2010 Results will be released to candidates online.

  17. September • Applications may be submitted from mid-September • Applicants register for Apply online at www.ucas.com • They can register as an individual or through school system. School buzzword is needed for the school application. • They create a password and are given a username. GCs should retain a copy of both of these for each applicant. • Priority should be given at this stage to those applying for early deadline (15th October), i.e. Medicine, Dentistry, Veterinary Medicine or any course in Oxford or Cambridge.

  18. September • Can apply for a max of 5 courses – not in any order. • Restrictions: Can apply for only 4 courses in any one of the above areas and can only apply for one course in Oxford OR Cambridge. • Invisibility: Colleges do not know what other courses applicant has applied for. • Very important that whatever email applicant uses is current, correct and monitored regularly for correspondence. • 15th October deadline – applications should be gone by Sept 30th. • 15th December deadline – applications should be gone by Oct 31st

  30. Reference Sept/Oct Individual • Applicant clicks on Reference section and fills in details of referee and inserts predicted grades. • An email is sent to the referee with a password, asking him/her to log into the UCAS site and complete the reference. (cut & paste) • When reference is completed applicant is informed and the pay/send button becomes live for the applicant to send the form. School Based • Applicant sends completed form to school electronically. • Referee logs into school system, enters and approves reference for applicant. (this can be done before application sent to school) • Application is checked and approved and then sent to UCAS by school.

  31. Reference writing: DOs • Make it readable • Be clear, concise and precise • Read application – esp. Personal Statement • Check where they have applied to • Check what they have applied for • Expand on their activities • Get students to provide information for reference • Use concrete examples; this shows you know the applicant • Be positive and end with a clear recommendation • Mention why individual application was made.

Reference writing: DON’Ts • Use it to promote the school or college • Try to hide bad predicted grades in the text • Ignore the student’s Personal Statement • Directly mention one institution by name • Paste in information on the wrong student • Leave room for uncertainty or misinterpretation (unless you want admissions tutors to ‘read between the lines’)

  33. What happens next? Sept/Oct • Form is submitted to UCAS and a full copy is sent to all choice institutions on the form • A welcome letter and guide is sent to applicant. • Applicant may need to: • Attend an interview • Send a portfolio of work • Sit an admissions test • Each university will make a decision on the basis of the complete application and this will be conveyed to the applicant through UCAS track over the next few months.

Track post application Need username, password & Personal ID (welcome letter) Used to: • Check progress of application • Change choices (14 days - W.L.) • Add choices (if all choices not used) • View details of decisions/offers • View invitation notifications & respond • Reply to offers • Keep contact details up to date

Decisions January - April • Admissions tutors can make one of three decisions: • Conditional Offer (C) • Unconditional Offer (U) • Unsuccessful • Applicants then keep a maximum of two offers: • Firm • Insurance • Any remaining offers must be declined. Reply date on Track • Can expect decisions up to May 6th. Some colleges make decisions very quickly, others take longer. • Decisions will be communicated through Track and usually contain certain grades in LC and / or tariff score to be met.

  36. Conditional offers Conditional offers could be expressed in 1 of 3 ways: • UCAS Tariff: This offer is subject to you obtaining a minimum of 300 UCAS tariff points • Exam grades (level / qualification) This offer is subject to you obtaining Irish Leaving Certificate (Higher Level) Grades CCC in Chemistry, Mathematics and Physics • Combination of both This offer is subject to you obtaining a minimum of 260 UCAS Tariff points including Irish Leaving Certificate (Higher Level) Grade B in 3 subjects

  37. UCAS Tariff – Irish Leaving Certificate Higher Ordinary • All subjects can be used to calculate Tariff score. • Tariff is currently undergoing a review.

  38. Confirmation August • Exam results are issued and sent to UCAS • Admissions staff check if the applicant has matched the conditions of the offer • If yes, the applicant will be sent an official confirmation of their place • If conditions just missed, college may still confirm place. Time to celebrate!!

  39. Fees 2012? • England • £6,000 - £9,000 • If over £6,000 – show how some of the additional income is used in making progress in WP • HEIs have not declared their fees to date • Wales • Basic tuition fees £6,000 - £9000 per annum • The assembly government will meet the cost of extra fees for students from Wales attending any UK university. • Northern Ireland • Will possibly follow England (has said cannot follow Wales) • Scotland • No decision expected until after elections in May www.direct.gov.uk/studentfinance
