  3. Deadlines • Both the Adjusted Cohort Graduation (P210) and the Annual CTE Student Enrollment Review (P210 voc) applications will be closing: Sunday, 11/24/2013 • The last day to send a CEDARS submission to update these applications would be Saturday by 6:00 p.m., 11/23/2013.

Adjusted Cohort Graduation (P210) Updates and Notices beginning with school year 2013 • Students populated in the 4- and 5-year cohort reports are being populated from: • 4-year cohort, CEDARS data submitted for schools years 2009-10 through 2012-13 • 5-year cohort, final submitted annual P210 report for the 2008-09 school year and CEDARS data submitted for schools years 2009-10 through 2012-13 • No edits will be allowed within the application • All edits must be made through prior years, 2009-10 through 2012-13, CEDARS data • All reports provided within the cohort graduation/dropout application may be downloaded in excel • Annual ‘estimated’ and ‘extended’ results (‘old estimated results’) are no longer being calculated • Data for prior years cohort and ‘old estimated’ results are available in a separate tab within the application and will appear when a school year prior to 2012-13 is selected

Adjusted Cohort Graduation (P210) Identification and placement of students in 4- and 5-year cohort • Students are identified as members of the 2012-13 4-year cohort based upon: • Student is identified as enrolled in grade 9 for the first time at the start of a cohort, e.g., 2009-10 for the 2012-13 4-year cohort, with a graduation requirements year of 2013 • If student enrolls in Washington after the start of the cohort, their graduation requirements year is used to determine cohort placement • Students are identified as members of the 2012-13 5-year cohort based upon: • Student is identified as enrolled in grade 9 for the first time at the start of a cohort, e.g., 2008-09 for the 2012-13 5-year cohort, with a graduation requirements year of 2012 • If student enrolls in Washington after the start of the cohort, their graduation requirements year is used to determine cohort placement

  8. Adjusted Cohort Graduation (P210) Exceptions • Reviewing your exception report is an important step in assuring your district data is complete and accurate. Issues listed in this report have the potential to affect your cohort results. All updates and changes must be made through CEDARS. • Click on the Exceptions Tab, then using the drop-down menu select cohort group, 4- or 5-year, that you wish to view. • Possible Cohort Exceptions • Student must be reported with Graduation Requirements Year • Student not identified with school of primary responsibility and will be excluded from final cohort results • Skill Center cannot be the school of primary responsibility for a student

Adjusted Cohort Graduation (P210) Student Details Reports • Cohort Determination • Students identified as members of the 4- or 5-year cohort in your district and where the students were first identified as a member of the cohort. • Students Excluded • Student is reported with a status of IsPrimary=No • Students last reported enrollment is in a Juvenile Detention Center School hosted by the district being reviewed • Students only enrollment in district being reviewed is in a Skill Center hosted by district

Adjusted Cohort Graduation (P210) Student Details Reports – continued • Modified Enrollment Status • Currently enrolled (no School Exit Date) and counted as continuing (E0), but does not have any enrollment in the final school year and will be considered as Unknown dropouts (U1). • Students who were reported with a school withdrawal code of T1 – confirmed transfer to another school within your district. Students in report have not yet been identified as enrolling in another school within your district or elsewhere in Washington. For cohort calculation purposes the status of the students will be either continuing or dropped out: • Student(s) reported with final enrollment status of T1 after May 31st of final cohort year will be considered actively enrolled (continuing) • Student(s) reported with final enrollment status of T1 prior to June 1st of final cohort year will be considered Unknown dropouts • Cohort List • Students displayed in this report are those identified as belonging to the cohort group for the school year being reviewed whose enrollment in Washington was last reported in your district.

  12. Adjusted Cohort Graduation (P210) Cohort Graduation Rates There are two separate cohort graduation rates calculated • The actual adjusted four-year on-time cohort graduation rate. The calculation follows students for four years from the beginning of 9th grade to the end of 12th grade. Only students that graduate “on-time” (before the end of their first 12th grade year) appear in the numerator. • The actual adjusted five-year cohort extended graduation rate. The calculation follows students for five years from the beginning of 9th grade to the year after they are expected to graduate. It is called the “extended” rate because it essentially provides a one-year extension for students to graduate and still be included in the graduation rate.

  14. Adjusted Cohort Graduation (P210) Certifying your data: Click on the Certification link to be directed to the final certification page. To certify the 4- and 5-year cohort data represented for your district click on the button displayed at the top of the Certification page. By certifying your data you are confirming that you have reviewed and are accepting the following: • Exceptions • Student Detail Reports • Cohort Determination • Students Excluded • Modified Enrollment Status • Cohort List • 4- and 5-Year Cohort Graduation Results

  19. Annual CTE Student Enrollment Review (P210 Voc) The Status Report is intended to be used for informational purposes for the district and does not require any completion or validation.

  20. Annual CTE Student Enrollment Review (P210 Voc) Exception Report • All previous Annual CTE Student Enrollment exceptions are now captured through CEDARS validations. Districts can expect the following message to be displayed in their Exception Report:

Annual CTE Student Enrollment Review (P210 Voc) Enrollment Reports • The Annual CTE Enrollment File is a summary of all students in grades 7-12 reported as enrolled and served during the reporting year. • The CTE Student Enrollment (P210 Voc) File is generated using CEDARS submissions from the previous school year. • The report looks forward to the initial enrollment for the current school year for student enrollment submitted prior to September 30th to determine if any students reported in negative status in the prior school have returned to enrollment.

  23. Annual CTE Student Enrollment Review (P210 Voc) P210 Voc Certification: Accepting and Locking Your Reports • Once you have reviewed and made all necessary updates and/or corrections to your student level data you may finalize and lock your data.

  24. Annual CTE Student Enrollment Review (P210 Voc) Known Issues: • Enrollment Report: When sorting by column, page 1 is not automatically displayed. Page 2 is the first page displayed. • Edits made to records through Enrollment Reports are not being saved.

CEDARS Non Standard FAQ’s • Can I send multiple submissions in one day? • Yes, however only the last submission received in the day will be processed and loaded. • Can we work in multiple school years simultaneously? • Yes, once a school year is imported into CEDARS Non-Standard it remains loaded and changes made within the application are saved. • Does CEDARS process submissions 7 days a week? • Yes. • Why do I have District Student Demographic logical deletes in my 9-10 submissions? • SSIDs assigned through bulk upload or screen entry are inserted initially into the 9-10 school year. There is no harm in logically deleting these records.

CEDARS Non Standard FAQ’s • I sent a Delta submission but don’t see it in CEDARS. • Once a Delta submission is sent, you must go into CEDARS Non-Standard, review any rejected Delta records, and submit from Non-Standard. • How can I edit records from 08-09 school year for my 5 year cohort? • Edits cannot be made to 08-09 records. The 08-09 school year is the last year of the old 'locked' P210 data. • Do we need to import each time we want to make changes to the same school year? • In most cases, a district will only need to import their last submission once. The data for that school year will remain loaded, and edits to that data saved, unless another import is completed.
