  1. Please Click your mouse to advance animation and slides Notes: The Pie Graph is incomplete without Management. Those who want to just do dentistry and let someone else worry about all the rest open themselves up to embezzlement and high overhead. Some experts estimate that 40-50% of dentists are embezzled for an average loss of over $50,000. A practice is said to be “successful” when it gets down to 60% overhead. We consider the mark of success to be around 50%- leaving you an extra $30,000 or more to take home. Having the proper management tools at your disposal is the key. (Practice Ownership) (Management) (Dentistry) Dentistry + Ownership + Management = $ $ $ $ $ $ $

  2. Our Business Philosophy- The age of information technology allows you to shift your paradigms. ..and be a Manager , not a Spectator! ….or a Victim! Notes: Most large corporations now have a CIO, or Chief Information Officer, because they have realized that the ability to manage information (via computer networks) directly influences profits. The same applies in the dental office. The availability of information can prevent you from being embezzled, keep your schedule full, provide the opportunity to cross-train employees and help you manage your costs.

  3. Helps Analyze Your Practice Notes: These analysis tools represent ALL items which concern you; including items that accountants usually hold hostage on their computer. This capability is also NOT usually found in consumer oriented accounting software.

  4. Notes: The supply system is located at this point in the presentation because the previous slide showed that you could easily be spending $100,000 on supplies. You must control your costs to increase your profits. You need a management tool that enables simple oversight, consolidation of orders to save on shipping costs and tracking of multiple suppliers for comparison shopping. Notes: The supply system is designed to be used by a number of people from a number of locations in your office. This theme runs throughout the software system. The ability of staff members to know and do each other’s jobs provides efficiency, facilitates vacations and prevents the practice from being crippled by the loss of a particular individual. Helps Manage Your Supplies

  5. Notes: THE COMPLETE PRACTITIONER was designed by the spouse of a dentist after he went looking for a software system to help protect his wife’s business from embezzlement and was disappointed with what he found. Not only was this area often overlooked, he found no systems to manage the entire practice. Notes: It was decided early on in the development phase to capitalize on Windows NT’s security features to protect the finances of the practice, as well as provide accountability for treatment record comments, appointments, maintenance, etc. NT provides the ease of use of regular Windows, but was designed to operate in a business environment. The product was recently renamed to Windows 2000.

  6. Perio charting includes the ability to use voice activation. This screen provides documentation for pathology and can be customized for soft tissue exams. This feature is lacking in most dental software. Notes: THE COMPLETE PRACTITIONER provides you with the clinical tools that you expect from your dental software. In our emphasis on profits and costs, we must remember where the money is earned- in the operatory. Helps You Treat Your Patients This screen allows you to establish treatment priority in the operatory- so nobody has to ask what to schedule next.

  7. Notes: The public still views dentistry as a highly elective expense. Patients may not argue with your judgement, but they will likely procrastinate. A system to find outstanding treatment and provide a convenient method for contacting and scheduling patients increases revenue. Helps Keep Your Books Full

  8. This screen provides a convenient method for finding and collecting from those who owe you, as well as if insurance is outstanding. Helps Collect Your Money Notes: Administrative tools help to ensure that all of the money you earned in the operatory makes it into your bank account. This screen summarizes insurance submittals and provides flags for excessive time elapsing since submission. Remove the mistakes from the accounting process. Fees are charged out automatically at the fee you set in the operatory and cannot be altered in the account.

  9. Notes: Properly categorizing your expenditures as you pay your bills helps you to not only analyze your costs, but makes income tax time as painless as possible. Additionally, budgeting tools (shown above) allow you to set aside funds on a weekly basis to pay those big bills when they come due. Helps Pay Your Bills

  10. Notes: Payroll is one area that is usually done incorrectly by small businesses. Fixed weekly amounts may be easy from an accounting standpoint, but the law requires proper compensation for overtime worked. You may be setting yourself up for a lawsuit. Avoid this problem by allowing Windows NT to keep track of the time and THE COMPLETE PRACTITIONER to do the accounting. Notes: The box above indicates something previously unavailable without separate and extensive bookkeeping. You can now pay commissions to associates, hygienists and yourself (if incorporated). Only a comprehensive system that links payroll and treatment records makes this possible. Helps Pay Your Staff

  11. Notes: There are some who will ask, “I am a very busy person. Doesn’t it make sense for me to keep doing dentistry and pay someone else to deal with this stuff?” Or maybe the question is, “just exactly how much EXTRA time will I have to spend if I tackle this stuff on my own?” Keep in mind: bookkeepers and accountants cannot conjure up figures on their own. They must get their data from you in the first place. Since the data is sitting on your computer anyway, wouldn’t it make sense to process the data once and be done with it- rather than paying someone to duplicate much of the effort that you have already put forth? The automated reminders and screens that you are about to see encapsulate your responsibilities as an employer. THE COMPLETE PRACTITIONER displays data that is consistent with the government form and can simply be transposed to it (or printed out directly as with the W2 form). Over an entire year, you may spend at most 2-3 hours total with these forms. When you do the math, you will find that you are probably paying yourself OVER $600 PER HOUR to process information that is already on your computer! Helps with Payroll Taxes

  12. Notes: As the owner of the practice, you pay estimated taxes 4 times per year. THE COMPLETE PRACTITIONER reminds you to pay them and calculates the proper amount to send in. The screen below shows that you can even include items from outside the practice to fine tune your payments. Remember: the government doesn’t pay interest, so there is no point in sending in too much money. Notes: Are you incorporated? We have encountered a number of incorporated dentists who try to bypass the administrative burden of estimated taxes by paying themselves large bonuses as employees of their corporation. THIS IS FOOLISH!! You are probably costing yourself THOUSANDS of dollars per year because your corporate shareholder earnings are not subject to social security taxes. This is just another reason why it pays to learn about your business- and don’t expect your accountant to be the one to help you. Call us and we can help. Helps the Practice Owner(s) to Pay the Proper Amount of Estimated Taxes

  13. Notes: Maintenance is one of the most sorely neglected areas of practice ownership. Besides the direct cost of repair and replacement of items not properly cared for, down time for certain critical items (i.e., a sterilizer or xray processor) can cause you to completely shut down your business. THE COMPLETE PRACTITIONER provides accountability based on the computer user and requires minimal effort on the owner’s part. Notes: Since most consumer oriented accounting software ignores depreciation, practice owners have been forced to have an accountant do this for them. Once those figures are on someone else’s computer, the data is hostage forever! NO MORE! THE COMPLETE PRACTITIONER performs these calculations automatically and gives you the ability to have ALL your data available- for analysis, year-end taxes, estimated taxes and property taxes. The less you have to go back to an accountant, the more money you save. Helps Manage Your Equipment

  14. Notes: If you saw how little work was involved in preparing your year-end business taxes, you would quickly realize that you could easily do it yourself. As a CPA once told us, “don’t tell anyone or they won’t need me anymore.” If you are intimidated by changing tax laws, stop worrying. You will find that your dental practice taxes change very little from year to year. You may want to have a CPA available to ask an occasional question of, but paying hundreds or thousands of dollars for transposing data that is already on your computer is an unnecessary expense. Call us and we’ll tell you more about it. Helps With Business Taxes

  15. An InterOffice Communication system that replaces and supercedes those expensive hardwired colored light systems. This overview was designed to provide you with just a sampling of the features of THE COMPLETE PRACTITIONER. Each screen that you have seen represents a subsystem with many details designed to make your practice productive and profitable. For example, a number of analysis tools enable you to track where your patients are coming from, what they are spending their money on and how efficient you are at collecting from them. Another example is payroll, where an extensive system of pay adjustments allow you to pay bonuses and contribute to retirement plans. You simply will not find a more comprehensive system ANYWHERE! Please give us a call…... Prescriptions take only seconds to create and attach to the patient record. They can be printed out at the front desk with your signature already on them or called in to the patient’s pharmacy. Use THE COMPLETE PRACTITIONER to view images created by the digital processing system that you use. Provide yourself legal protection through a system which automatically prompts you to print out patient advisory letters and tracks them by patient and serial number. A computerized scheduling system that was designed to even allow you or a staff member to dial up from home to find out when the first patient is scheduled or do Sunday night confirmations for those Monday morning appointments. A correspondence system uses a mail merge feature to create form letters of your own design for such purposes as collecting money on overdue accounts, wishing patients a happy birthday or providing follow up for colleagues who refer a patient to you. Helps You Do Just About Everything!
