  1. What do I need to get started? • All you need is internet access. • Nothing to buy, use your existing software. • What if I don’t have software? • Not a problem. We have an online entry tool to enter claims or you can use our new web-based practice management program “Practice Mate”. • No need to upgrade your existing Practice Management system. • Will the OA solution work with my software? • Yes, we have hundreds of practice management software packages that work with the OA system.

  2. Paper claims • Office Ally will print and mail claims that cannot be sent on electronically at a charge of $ 0.25 per claim. • If the provider decides to print claims in their office and not use our printing service there will be no charge to the provider for using the Office Ally website. • All electronic claims are FREE !

  10. Claim fix • Providers may correct claims on-line • Simply click on the link “Claim Fix” and select the claims you wish to correct.

  12. Claim fix • The claim is displayed with the reasons for rejection at the top of claim.

  13. Claim correction • After the corrections are made, click on the “update” button and the claim is resubmitted.

  14. Claim correction • If the error on the claim is Non-Billable or invalid Diagnosis code. Simply click on the link “Code Search” beside the code invalid code. A window will pop up displaying the valid codes.

Claim fix • All claims corrected in a given day are batched into one file and reprocessed. • The user will receive a new file summary with a receipt for the corrected claims. • To view the claims that are awaiting the reprocessing, simply click on the Claim Fix link and select “Claims Awaiting Batch”. These claims will be resubmitted at the end of the business day.

  16. Code Search • Providers can search for billable ICD9, CPT, Modifier and Place of Service Codes.

Inventory reporting • Providers can search for claims submitted by all or any of the following fields • Date of service, date uploaded, date processed or no date • Status ( Passed, Pending or Rejected) • Specific errors • Sort by ( status, file ID, claim ID, payer ID, patient account number, last name, first name, from date of service, to date of service, master vendor, state license id or total charge. • Search for a specific Master vendor ID or State License ID. • Search by Last Name, First Name, Patient account number, file ID or by claim ID.

  20. Inventory reporting By clicking on the Claim ID, the claim will be displayed in HCFA-1500 , UB-92 or ADA – 95 Format.

ERA – Electronic remittance advice • Providers will receive their ERA / EOB from payers electronically if they so choose. • Office Ally will generate a text “readable” version of the ERA and will remain on the website for one year. • Office Ally will also generate an electronic format (835 ERA) for the provider to in-load into their system.

Real-time claim status • Providers may obtain real-time claim status from the payers system. • Providers just retrieve claims that have been sent through Office Ally and select the claims where a status is desired. • Provider may search by date of service, date uploaded, date processed or no date at all. They may also search by tax ID, state license ID, First and or Last name of patient, patient account number and claim ID.

Real-time eligibility • Providers may obtain “real-time” eligibility from the participating plans. • Provider simply fills in the patient name, date of birth, gender, date of service and the patient ID and clicks on send. • Office Ally will generate an eligibility request transaction (270) and send off to the requested payer. Currently you must specify the payer, however in the near future we will send the (270) transaction to all participating plans.

Online claim entry • Providers who don’t have a practice management software package may enter their claims on the Office Ally website for free. • Providers have ability to store unlimited number of patients, providers and facilities. • Providers may store all patients demographic and payer information.

  31. Online claim entry • Providers have three main options after logging into the website: • Insert a new claim • Manage patient, payer and facility information • Check on or modify claims awaiting processing.

  32. Online claim entry • When entering a new claim the provider may select the patient information from a list or may enter and add to database from scratch.

Online claim entry • Under this option you may add, edit or delete patient, payer and demographic information. • You may also add, edit or delete Facility information, Billing provider information and Rendering Provider information. • You may create a Template of commonly used Procedure codes.

Online claim entry • After entering the data into the online entry screen, the provider simply clicks on the UPDATE button. • The claims entered through the day are batched and processed that evening. • The provider receives an e-mail when the file is finished processing. • The provider may log into the website and get their receipt for all the claims they entered through our online entry tool.
