Luke and I have recced it, it is safe/dry/working electricity, permissions from the owners/security team.   3. Drivers instructed not to exceed 55mp, 60mph on motorways and 25mph on roads around the school. • • • • • Vehicle checked prior to use. RAC provision for all school minibuses. RAC information left in minibuses in case of emergencies. All school minibuses subject to regular maintenance In the event of an accident or breakdown, Hurtwood Emergency procedure will be followed (attached). Bus breakdown S & S • Venue Missing student / Separation Students • • • • • Students advised to remain within sports centre complex Staff to carry list of student contact numbers. Students briefed on what to do if lost. Regular face to face and headcount checks will be undertaken. Register will be taken before journey and when boarding return bus. Staff to contact student once discovered missing – directly and through friends in the same group. If student has not been located after 10 mins staff member to be left at arranged meeting place, other staff member to look for student. After 20 mins, staff will meet and confer. School will be contacted. After 30 mins and in accordance with advice received from SMT, police will be contacted. Party leader to check any medical information prior to departure. Students with specific medical conditions and allergies instructed to take medication/inhalers with them. Party leader will check prior to departure. First aid kit in every minibus or with party leader. First Aid personnel available at sports centre. Member of staff will be allocated to help unwell student and give first aid. Professional help will be sought if necessary. School will be contacted for care instructions and safe transfer of student. If staff member is taken ill, designated deputy to take control of party. The nearest hospital to the venue is detailed above. Staff instructed to pull minibus up to sheltered area for students to board. Parking in sports-centre car park near rear-entrance to avoid roads. Students will be instructed in fire safety procedures at the venue. Students advised to pay attention to procedures and note muster points and escape routes. Filming and transporting camera equipment S & S • • Students and staff have been trained in safe operation of equipment All advised not to carry more than one piece of baggage at a time and to carry heavy bags between two persons Lighting will only be used if necessary and any fixed lights will be monitored by member of staff to ensure they are in safe position • Students and staff will be made familiar with the exits and will be provided with a designated space in the risk of fire or evacuation. • Trip hazards will be dealt with using gaffer tape and carpet where necessary. • Security will be used in case of general public interference and concerns • Staff and students to bring cash to cover the cost of refreshments – there is a variety of options available in the nearby shops. We will break for lunch and eat together. • All to stay together throughout the day • Crew to wear Hi-Vis vests and signs present to inform the public • Location concerns Ensuring all fed and watered S and S Movement around public areas near the shopping centre Covid • Actors and crew must adhere to latest school guidance on mask wearing, distancing and other COVID measures. Behaviour Policy In addition to the school behaviour policy, please read the following guidelines before the event commences: 1.You will be given a telephone number for the member of staff in charge of the event. Please note it down and follow any instructions provided to you. 2.You must wear seatbelts and remain seated at all times during the journey. 3.You are required to act sensibly and with due consideration for those around you at all times. Remember you are an ambassador for our school. 4.You must exhibit high standards of social behaviour ie correct volume of voice, no running, awareness of others in their surroundings.. 5.When in the venue you are required to acquaint yourself with any fire and safety notices, as well as fire exits and routes. 6.You are required to listen carefully to any health and safety announcements and to follow any procedures in place at the venue 7.You must report any sickness, injury or incident to a member of staff immediately. 8.You must remain with the party at all times. Should you become separated, you should immediately contact a member of staff on the telephone number provided to you. 9.You must meet at the specified meeting points promptly. 10.In accordance with school policy, you are not allowed to smoke at any time.   7. Emergency Procedure In the event of an emergency, the Emergency Procedure should be invoked. The PL, or nominee: 1.Assess the situation and establish a basic overview of the incident. 2.Take immediate action to safeguard students and staff. 3.Attend to any casualties and administer first aid, if appropriate. 4.Contact the emergency services and provide them with an overview of the situation. 5.Contact the Headmaster or another member of SMT to inform them of the situation. These contact details should only be used in an emergency. Do not give them to anyone outside school. Dial 999, if appropriate. Speak to each emergency service. A In the event of an accident you should: ACTION: The protocol that is used is AMEGA: A ssess M ake Safe E mergency Aid G et Help A ftermath 1.Assess Assessing the situation is the most important aspect of managing the scene S top stop where you are T hink think about what you need to do O bserve look around. Are you safe? Are the students? Bystanders? P lan plan what you are to do 2. Make Safe If the bus is in a safe place you should turn the ignition off, remove the keys and put them somewhere safe – behind the sun visor for example. However, you may be on a motorway or a blind bend or the vehicle may be in danger of catching fire. In these instances you will need to get the students out of the bus and to safety and shelter. Sometimes – extreme weather conditions – it may be safer to leave the students in the bus. You may have the added complication of injured students, indeed you may have to decide whether to move someone or not. “Move the casualty if the situation [rather than the injury] is life threatening” 3.   9. 4. Get Help Contact the emergency services – if a student does this for you listen to what they are saying. The emergency services will need to know: • Location • Brief account of injuries in order of priority • Number with you and any other injuries – other vehicle • Identity and contact two numbers – at least two mobile phones Ask one of the students to call the school. 5. Aftermath As soon as you can, write a full account of what happened and the actions you have taken. This must be as detailed as possible – include details such as road conditions, weather, names and addresses of witnesses. A rough sketch of the accident scene showing position of the vehicle before and after is important. How are you feeling? Do talk to someone if you need help. B Serious Injury to Student or Member of Staff ACTION: The PL or nominee will: 1.Assess the situation and establish a basic overview of the incident. 2.Take immediate action to safeguard students and staff. 3.Attend to any casualties and administer first aid, if appropriate. 4.Contact the emergency services and provide them with an overview of the situation. If in doubt, dial 999. 5.Contact the headmaster immediately and bring him up to date on the situation. Be clear and concise in your assessment and description of what has happened. If the Headmaster is not available, contact one of the other members of SMT. 6.Locate and take details of witnesses. Do not discuss any liability with third parties. 7.Do not speak to any member of the press. The Headmaster/SMT will: 1.Call together the SMT, brief them and allocate responsibilities. 2.Ensure that extra support is available on the phones and that lines are kept open for continual updates. 3.Take responsibility for parental and staff contact. 4.Arrange briefings for staff if necessary. 5.Insist that a record of all calls is kept and compile an accurate record of events. 6.Arrange counselling if necessary. C In the event of a student going missing from the group: ACTION: The PL or nominee will: 1.Contact student once discovered missing – directly and through friends in the same group. 2.If student has not been located after 10 mins staff member to be left at the arranged meeting place, other staff member to look for student. 3.After 20 mins, staff will meet and confer. 4.Contact Deputy Head – Students or in his absence, another member of SMT to inform him of the situation. 5.After 30 mins and in accordance with advice received from SMT, police will be contacted. D Minibus Breakdown In the event of a breakdown, the following should happen: ACTION: The PL or nominee will 1.Turn the ignition off, remove the keys and put them somewhere safe – behind the sun visor for example 2.Remove students to a place of safety and shelter (if safe, students may remain in the minibus). 3.Contact the Estate Manager, Joe Giacomuzzi or the Deputy Head - Students immediately and bring him up to date on the situation. Be clear and concise in your assessment and description of what has happened. If the DHS is not available, contact one of the other members of SMT for further instructions. E Major Incident In the event of a major incident, such as terrorist attack, the following should happen: ACTION: 1.Act on the advice/orders of Police or venue staff. 2.Be aware of suspicious packages or unusually parked cars etc. 3.Ensure well-being and safety of students at all times, especially when leaving buildings. Staff to safeguard students at all times. 4.Contact the Headmaster immediately and bring him up to date on the situation. Be clear and concise in your assessment and description of what has happened.
