Success Plans

Learn how to create and manage Academic Success Plans in Starfish, including examples of tasks and referrals, timeframes, and customization options. Counselors and mentors can create and view plans, and anyone with permission can create plans. Plans can be assigned to multiple students, and staff and students can print customizable plans. The plan creator manages the plan, but others can clear tasks and referrals.

  1. Success Plans How to create and manage Academic Success Plans in Starfish

What is an Academic Success Plan? • An action plan for students; series of steps to reach a certain goal. • The Success Plan is a grouping of To-Do’s and Referrals already in the Starfish system. • Examples of To Do’s: Set up Starfish profile; obtain copy of degree audit • Examples of Referrals: Tutoring; Academic Dept. Advisor; course instructor • Can have timeframes i.e. due dates • Students can see and print the plans • Created from a pre-designed template; person creating plan can add or remove items from the plan, change dates, change order so that it is personalized to the student’s needs.

Who creates theSuccess Plan? • The Academic Success Plan is created, viewed and managed by the Counselors and Mentors who are assigned a Probation Student cohort in Starfish (i.e. Academic Counselors). • The Academic Success Plan can also be created by anyone given permission in Starfish to do so, such as the OPPS counselors and mentors. • The Success Plan will be managed by the person who creates the plan; however, To-Do’s and Referrals can be cleared by anyone who is given the rights to do so; i.e. support offices/people who have a connection to the student.

Creating and Viewing Success PlansPlans can be assigned to multiple students at once, similar to messages/commentingCan assign a plan prior to meeting with studentStaff and students can produce a printable view of the customized plan- 3-4 items recommended Creating a plan creates to-do’s and referrals to the student – email notifications to student are sent only at plan creation and when completed

  5. Managing Success PlansCreating a plan creates To-Do’s and Referrals that can be seen in the Tracking list. Staff with permission to edit the plan can resolve the individual items from the plan view, or from the tracking tab e.g. tutors can resolve tutoring referralWhen all items have been completed/resolved, the plan status is updated to Complete vs. In progress; also in tracking tab.

  6. Success Plan NotesThe Individual tracking items from a created plan/plan status may not update immediatelyAllow a few minutes after you create or complete the items in a plan for the updates to be reflected in Starfish

Steps to Creating a Success PlanFilter for your cohort of probation studentsFrom Success Plan tab choose Academic Probation Success PlanEdit (Pencil icon)any of the To-Do’s or due dates and customize the To Do in the template above the list; delete any items by using the XClick Submit after making changesNotifications will go out as specified

Managing a Plan • The Plan will show up on the Overview page in the Student Folder • Hover on the plan icon and you will see a plan menu that includes View/Print, Edit Plan, Delete plan • Have student sign the plan if you are meeting with the student at creation • Within edit plan, you can add recommendations to an item or add an item • Once you update an item you will also be able to comment on that item (green plus sign to the right) • Click submit to update the items you changed! • Resolve completed items by clearing the flags in Tracking

Student View pointersStudent doesn’t edit the plan directly; Academic Counselor/creator does this when meeting with the student or prior to meeting with the student (by Feb. 1)Using/adding flags is not recommended to avoid duplicate notifications etc. Make sure items are getting cleared in a timely manner so students can see their progressDemo: Creating a Success Plan

  10. Hosting a Group Session Students can now sign up for Workshops, Study Groups, Academic Probation Recovery Sessions, when you Add a Group Session to your Starfish Calendar! Steps to Creating a Group Session: From the Home page or Appointments Page, Click Add Group Session button Enter a Title, Time and Occurrence, and Location in the Group Session form that pops up Add the reason for the session and a maximum number of students to participate Add any additional instructions and an end date if needed Save the Session! Students are now able to sign up for the session on your Starfish calendar! DEMO SUCCESS PLANS AND GROUP SESSIONS
