  2. Step One: Create a User Account When you go to http://r25c.gcsu.edu, this is the screen that will appear. Select “My Requests.”

  4. Step One: Create a User Account Fill in the form on this page as thoroughly as possible. We suggest that you use your myCats e-mail information for simplicity’s sake. Then, select “Submit.” Select “click here.”

  5. Now you have created your account. Let’s move on to the Request Form.

  6. First, let’s learn how to navigate… There are two ways to initially navigate through R25 WebViewer: “Events” and “Locations.”

  7. “Events” is a way to search the different Campus Calendars by date to see what events are scheduled. You may choose the date you would like to see by using the calendar. You may choose to view all events for a particular day or use one of the filters.

  8. Events Filters Academic Only: All academic credit courses Campus Calendar: Major events Non-Academic: Every event other than credit courses Student Activities: student requested events

  9. “Events” is a way to search the different Campus Calendars by date to see what events are scheduled. The events for your selected day, week, or month will show up in the largest portion of the WebViewer.

  10. “Locations” is an easy way to search for rooms that are available in a particular building. Choose “Locations” in the upper left hand corner of the WebViewer.

  12. “Locations” is an easy way to search for rooms that are available in a particular building. I selected the Student Activities Center. We can now see that on September 21st, Magnolia Ballroom is not available from 6:00-9:00 p.m. This is indicated by the blue shaded box filling that time slot.

  13. If you are using the “Locations” tab, you may also request a space from the grid. For example, if you would like Maple A in the SAC for 4:00 p.m. on September 21st, simply put your cursor inside of the box and click. This will take you to the partially completed request form if you are logged in. However, if you are not logged in, it will first ask you for your User Name and Password before going to the partially completed form.

  14. If you are using the “Locations” tab, you may also request a space from the grid. Here, you can see that the times that we chose are pre-filled. However, sometimes you may want more than one hour, so make sure that the times listed are the actual times that the event will be taking place. If you will need set-up time, please put those times in the Comments box at the bottom of the Request Form. Please understand that if you do not fill out your request form with the appropriate information, your request will be delayed while we contact you for the information.

  15. If you are using the “Locations” tab, you may also request a space from the grid. Here, you can see that the space that we chose is pre-filled.

  16. Date/Time Options If you are only requesting one date for a certain period of time, place the date and times in the area marked “Start” and “End.” Be sure to use the actual event times in this area. If you will need set-up or breakdown time, please indicate this in the Comments section.

  17. Date/Time Options If your event will span multiple dates with the exact same event time each day, you will choose “Ad hoc.” In the “Start” and “End” times area, mark the first day of the event or series of meetings along with the time. In the “Ad hoc” section, select the additional date and then select enter. You may do this for as many dates as you would like.

  18. Date/Time Options If your event will be repeated daily for a certain amount of time, choose “Daily” and then an end date. If your event will be repeated weekly for a certain amount of time, choose “Weekly” and then an end date.

  19. Date/Time Options If you are submitting a request for an event that will span several days but will have different times each day, you must submit a separate request form for each day. For example, if you are having a conference from 6:00 p.m. until 10 p.m. on Friday, 8:00 a.m. until 4:00 p.m. on Saturday, and 9:00 a.m. until 12:00 p.m. on Sunday, you will have to make three separate requests.

  20. Space Preference Please be as specific as possible when you are selecting a room. If you choose to manually enter the space that you would like, please include the room number. Also, be sure to fill in the radio button that says “Other” when manually entering a room. Ex. Arts & Sciences 243, Chappell 113

  21. Once you submit a request form, you can check on its status in the “My Requests” area. If you select “In Progress,” your request should appear within one business day as “Tentative,” and as “Confirmed” or “Canceled” within five business days.(“Canceled” means Denied.)
