WP 5.2 Outreach, dissemination and climate services Goal: dissemination of robust climate information meeting the expectations and needs of relevant stakeholders, and allowing their involvement in the decision making process To achieve the goal of interactive dissemination, a 3-step approach will be taken: (1) Identifying user-needs (end-user workshop in PM9) (2) Develop a climate service plan where users’ needs and capabilities of NACLIM are matched (Climate Service Plan PM12) (3) Dissemination of results by way of electronic media, workshops and conferences (throughout the project PM1-51)

WP 5.2 Communication withstakeholders • User and stakeholder needs will be identified during end-user/stakeholders workshops • Goal: create a bridge between scientific institutions and potential end-users • Target: • decision-makers, the private sector, the industrial sector (GIM, VITO, support UHAM)* • international climate science community (ICPO, support UHAM)* • Planned: • 1st Workshop: Understanding users’ needs (before end of PM9= July 2013) • 2nd Workshop: Providing interesting data to our users (before the end of PM34=August 2015) • Points to be defined • *Support of ECOMS partners? • Events organized locally? • Language? • Web seminars combined with workshops?

European initiative for climate service observation and modelling (ECOMS) NACLIM project has been clustered by the European Commission with two other complementary projects, EUPORIAS and SPECS, under the European initiative for climate service observation and modelling (ECOMS) Goals: 1- Ensuring close coordination in Europe in the area of seasonal to decadal climate predictions towards climate services 2- Providing thought leadership to the European Commission on future priorities in the area of seasonal to decadal climate predictions towards climate services S 13

Who is the think tank: three coordinators of EUPORIAS, NACLIM and SPECS and of independent advisors Three working groups (WG) will be established within this work package for coordinating the discussion:-WG 1 "Observations and monitoring", led by NACLIM-WG 2 "Modeling and infrastructure", led by SPECS-WG 3 "User/Stakeholder engagement", led by EUPORIAS S 16

International advisory panel (IAP) • Goals: to ensure external scientific evaluation of the project and links to other programme activities outside Europe • Members: 3 international distinguished scientists (rotating mechanism) • Tasks: • Advising on the project’s scientific approach and orientation by liaison with the SSEC and the Coordinator • Providing a link to related activities outside Europe • Providing an international perspective of developments in the field of operational oceanography and to help monitor the overall progress and scientific achievements of the project • Making recommendations for new actions and activities in this area S 21

Governing Board (GB) • Goal: validates the major decisions concerning the project proposed by the SSEC • Members: • It is made up of representatives from all partners (1 vote per project partner) • It is chaired by the Coordinator • Tasks: • Strategic orientation of the project • Plan for using and disseminating the knowledge (and updates thereof) • Changes in the consortium membership • Changes in scientific plans relative to the initial agreed implementation plan • Any alterations of the Consortium Agreement • Acceptance/exclusion of new/former partners S 22

Gender Panel (GA) • Goals: raise gender awareness • Members: Laura, Marie-Noelle and Bogi • (Technical support: Chiara) • Tasks: • Provide gender statistics and indicators • Develop the NACLIM Gender Action Plan • Give advice to the SSEC on its implementation • Promote gender equality in recruitment • Promote participation of women in courses, seminars and conferences • Support the development of financial support systems for scientists with children to be able to participate in fieldwork • Promote selection of working hours convenient for mothers • Invite women to scientific/organizing committees. Project office (PO) • Liaising with the Commission on behalf of the consortium Communication of all information to the Commission • Day to day coordination of the project: monitoring of project planning and progress (e.g. deadlines, bottlenecks, milestones, deliverables etc) • Supervision of the quality control and documentation plan • Preparation of all reports to be forwarded to the EU • Set up of annual meetings, including SSEC and GB meetings, and internal reviews • Practical administration of the financial and contractual aspects of the grant • Administrative and financial matters, including administration of the contract (GA) with the Commission, the Consortium Agreement • Communication within the project, to users, and to the general public and coordination with other EU – funded or other international projects • Implementation of the plans under knowledge and innovation-related activities, intellectual property issues and of Gender Action Plan S 26

PO Data management Data collected within the observational CT will be immediately made available to the modelling groups for implementation in the assimilation models and for evaluation in comparison with the coupled runs data transfer between the different observational groups is mandatory A central data server was set-up at GEOMAR within THOR: the same data server will be available for the NACLIM project as well A web service communication module will be established for the project office for general communication and dissemination purposes Project office: data manager to be determined S 30
