  1. Athletic Eligibility Options SC 2025

  2. Agenda • System Admin Setup • Adding an activity period to the school day. • Adding activity types. • Creating Activity Courses in Campus • Course setup • Section setup • Running eligibility reports

  3. Adding an activity period • System Admin>Calendar (periods tab) • Activity period is marked as non-instructional so it doesn’t count into attendance calculations.

  4. Defining Activity Types • System Admin >Custom>Attribute/Dictionary • Activity types (categories) can be added. • Eligibility report may then be ran for a particular activity or group of activities by type. • Code is maximum 2 characters.

  5. Creating Activity Courses in Campus • Setting up a course for each sport/activity • Scheduling > Add Course • Select activity type • No grading tasks, not transcripted, not requestable.

  6. Best Practices/Tips from Usage • “Code” to course numbers (so the activity courses are grouped together in search results) • Department may be used if you wish. • No other scheduling information required. • Not requestable (in most cases). • Not attendance taking (in most cases)

  7. Creating Sections for Activities • Build sections for each group for that activity • Examples: 9999-1 Varsity 9999-2 JV 9999-3 10th Grade 9999-4 9th Grade • Coach/adviser can be selected as teacher. • Section placement should be placed in “Act” period.

  8. Course Setup: collecting Grades • Option A- an eligibility grading task • Teachers must post eligibility scores as needed by the school to a separate grading task • Option B- gradebook scores • Teachers need only to be using Campus gradebook as a score may be pulled from any grading task.

  9. “Eligibility Task” work flow. • Admin side • Open grading window for task every time OR • Leave open permanently • Teacher side • Posting grades • Right click in green area of gradebook. • Post grades to other task • “Professional judgment” adjustments

  10. Pull from Gradebook Workflow • Admin Setup • No extra setup required. • Workflow • No grading window needed. • Teachers do not need to post grades. Tool pulls straight from the calculated percentage. • No “professional judgment” adjustments can be made.

  11. Building Rosters Option 1: Roster Setup • Roster Setup • (Scheduling>Courses>Section) • Pick and choose students • This is a setup tool only; if a student is removed from the roster on this tool it will remove all traces of their participation in the activity. • If a “drop date” is desired, the walk-in scheduler may be utilized.

  12. Building Rosters 2: Walk-In Scheduler • Activities may be added using either the request or search modes in walk-in scheduler.

  13. Viewing Eligibility Results • Student Information >Reports> Activity Eligibility • Select term, activity(s), grading task(s), • Choose posted scores or gradebook scores • Select sorting option needed • Select scores to filter on (F and/or equivalent)

  14. Incidental Benefits of activity courses • Transcript options include an activity list that can be printed on the transcript. • Allows for attendance to be taken for activities. (if attendance is checked on the course) • Activities will appear on student schedule
