  2. 4 Keys to an Appropriate Voice • 1) Know your reader • 2) Use a professional voice • 3) Make your voice sound personal when possible • 4) Write as you would speak to your reader

  3. Differences between professional and unprofessional

  4. Professional • -Sounds specific • -Sounds positive • -Sounds reasonable • -Specific action is requested • -Reasons should be given for any concerns • -Have a supportive tones

  5. Unprofessional • -Sounds rude • -Sounds disrespectful • -Sounds negative • -Using last name as the greeting • -Never use personal references, as it lacks common courtesy • -Use of “big” words is not necessary

  6. Use a Personal Voice! • Personal voice: direct voice using personal pronouns, like you, I, we, us, yours, mine and ours; used more in business communication. • Guidelines: • - Be sincere; say what you mean and mean what you say • - Be courteous; imagine you’re receiving the message • - Be upbeat; focus on solutions, improvements and gratitude • - Be tactful; focus on issues, not the people

  7. How to Get to “Know” Your Reader Ask yourself… • 1) What does the person need to know? • 2) What does my reader already know about the subject? • 3) How will my reader react to this message? • 4) Do I want the person to do something? Imagine yourself as the reader!

  8. How Should You Sound to Different People? • Superiors (management): Use formal voice. • Co-workers: Be more conversational and casual. • Subordinate (motivate workers, inform them about goals, etc.): Use an informal voice.
