  1. Digital Project Planning:If you build it, will they use it? John Mess

  2. Questions to be Discussed: • What is a digital project? What is a digitization project? • Why is project planning particularly important for digital projects? • Do you use the same project planning and management techniques? • What steps should project planners take?

  3. Any computer-based product or service which enhances the primary mission of the department(s), library, university, or consortia. Virtual Exhibits Early Las Vegas Watercolor Gaming in Las Vegas and others Digital Reference E-Reserves Digitization of Materials and others What is a Digital Project?

  4. This can also move into new areas of exploration • Look at Digitizing Materials for Instruction • Books, Pictures, Newspapers, Magazines, Videos, etc. • Creating Electronic Books or Texts • Creating Electronic Discussion Spaces • Reference, Instruction, Entertainment, etc. • Create Interactive Spaces and Objects using 3D techniques • Artifacts, Scenes, Virtual Buildings, etc.

  5. The Importance of Project Planning • State why the project is important and its goal(s) • Know what resources are needed and are available • Have a timeline for implementation and project management • Know the costs associated or needed for realizing the project • Work from clear procedures and established practices • Establish measures for assessing the sustainability or effectiveness

  6. Why are the project and its goal(s) important? • It is okay to mimic a successful concept but the content should be unique • Learning is a good justification, the first time. • The goals set the stage for measuring current progress and future developments • The project has a finite lifetime, while a program has an ongoing nature. It helps to know which is being considered.

  7. Know what resources are needed and are available • Time, People, Money, Knowledge, Sources, Equipment, Supplies • These are in decreasing importance • Do assume that some need be in-house • Do consider the benefits of outsourcing • Knowledge should become an in-house resource. • It is possible to outsource an entire project and learn nothing

  8. Have a timeline for implementing the project • Planning • Participants • Materials to be Used • In-House or Outsourced? • Handling • Transportation • Processing • Presentation • Display • Marketing • Assessment

  9. What are the costs needed for realizing the project • Digitization (30%) – inhouse & outsourced • Staff (40%) – time and/or money • Computer Support (10%) • Supplies (10%) • Shipping (5%) • Evaluation (5%) • Administrative Fees

  10. How will you measure success? • Don’t be afraid to be unsuccessful on your first attempt. • There are three measures of success • Project Success – on time, on budget • Learning Success – Experience becomes Knowing • Audience Success – the intended audience likes it and wants more • Success can be measured both qualitatively and quantitatively but ultimately the goal is to measure if perceptions match or exceed the initial expectations.

  11. Which procedures and practices will you follow? • Re-Invention is often more easily funded than replication • Work with accepted, broad standards • Every project should be in line with established professional guidelines for use in the classroom or instruction • Borrow from the existing so that not everything must be done from scratch • Look for partnerships when ever possible

  12. Project planning and management techniques • Plan of Action • Allocations of Resources • Communication Channels • Timelines – Critical Path, Machine Use • Specific Checkpoints

  13. What steps should project planners take? • Walk through the Digital Project Planning Form • Do audience testing to see the level of interest and/or need • Decide what numbers you need to begin gathering to help with budgeting • Put together a proposal and sit down with funding advisors

  14. Typical Scanners • Scanning to Disk • OCR (Optical Character Recognition) • Transparencies • 35 mm Filmstrips

  15. Specialized Scanners Accommodates Rare Books with Wide Spines 36” Width for Maps and Drawings

  16. Wide Format Printer

  17. Audio-Visual Digitization Slides and 35 mm Filmstrips Video Digitization Audio Cassette Player Not Shown

  18. Behind the Scenes • ContentDM • Digital Projects Server • Software for Scanning Foreign Languages Materials not in English • Software for Building Applications and Databases

  19. Digital and Digitization Projects Require • Planning • Analysis of Needs and Sources • Analysis of Resources • Identified Procedures and Standards • Financial Planning • Quantities and Pricing • Sources of Funding • Production Planning • Shipment and Creation • Handling • Presentation and Marketing • Product Assessment
