  1. ePerformance Roundtable Discussion Loreen Inghram, HRMS ERP Systems Leader Ohio Farmers Insurance Company LoreenInghram@westfieldgrp.com 330-887-0295

  2. Who should attend? • Anyone who is currently using ePerformance and wants to get some tips. • Anyone considering implementing ePerformance • Anyone in the middle of implementation.

  3. Ohio Farmers and me • Ohio Farmers Insurance Company, also known as Westfield Group, is an insurance and financial services company out of Westfield Center, Ohio • We are on PeopleSoft HCM v 9.1 and PeopleTools v 8.52 • Currently in the process of upgrading to PeopleTools v 8.53. • Will have DEMO environment of HCM v 9.2 available this summer. Possible implementation in 2015.

  4. Ohio Farmers and me • 5+ years with Ohio Farmers • Current role is HRMS ERP Systems Leader • 15 years experience with PeopleSoft HR • Focus has always been with Benefits

  5. ePerformance at Ohio Farmers • HRMS received a directive from Management to implement ePerformance within 9 months. There was no business case, no requirements, no business understanding of the system. • We use the ePerformance system to drive our Annual Incentive Program.

  6. Advantages of using ePerformance • Everything is stored in one place and makes reporting easier • Documents can be transferred when employees transfer • You can maintain notes and pull them into your own self evaluation or the evaluation of a direct report.

  7. Challenges of using ePerformance • Employees using the correct dates • Leaders and employees closing documents • Employees would like to be able to add attachments, currently only leaders can add them.

  8. Challenges of using ePerformance, cont. • Timing out- Employees do not save often enough and lose data • Leaders acceptance of having to do document maintenance (transfers, cancellations, deletes) • Limited character space (changing with Tools 8.53)

  9. Challenges of using ePerformance, cont. • After completing the Establish Evaluation Criteria and the employee starts the Self Evaluation, they realize they need to change an objective or dimension • Educating employees to only have one document per year • Want to implement mid-year evaluations

  10. Customizations • Review process “Approval Before EE Review Held” modified to remove the step “Mark Review Held.” • Removed Leaders ability to override the employee acknowledgement.

  11. Customizations • Transfers caused approval issues, so we created a customization to allow administrators to transfer a document to someone else (prior leader )for approval.

  12. Customizations • On Save, customized PeopleCode to evaluate practically every field for special characters that were copied and pasted from Word documents.

  13. Questions and Talking Points • We allow each Business Unit to have their own document types so they can create templates specific to their units. How do you use the Document Types? • Has anyone used the alternate user ID or reassign work feature for leaders who are out of the office for extended periods of time?
