Spring 2011 Computer-BasedTest Administration Schedule *Reading Retake and Gr. 10 Reading are NOT computer-based tests in Brevard. *All RETAKE paper-based materials will be picked up on Thursday, April 14, 2011. 1160 min. w/ 10 min. break after 80 min. No dismissals during first 80 min. After 10 min. break, students may be dismissed as they complete the test. Must complete test in 1 day.

  5. HOUSEKEEPING Replace Pages in FCAT CBT Manual • There are two separate correction sheets (page 27 and page 40) for the FCATSpring 2011 Computer-Based Test Administration Manuals . (These sheets are included in the manual shipment.) • Distribute one corrected page 27 and one corrected page 40 with each Spring 2011 Computer-Based Test Administration Manual. • FDOE recommends stapling or taping the replacement sheets over the current sheets. (The current pages should not be completely removed from the manuals because the replacements are not double-sided.)

Reminders for Spring 2011Computer-Based Testing • PearsonAccess – www.pearsonaccess.com/fl • Brown Site: Training Center for Infrastructure Trial and practice • Blue Site: Operational center for actual test preparation (e.g., PreID, setup, administration, and reporting tasks) • Correct test administration must be selected each timeyou log in. • Requires a username and password.

Reminders for Spring 2011Computer-Based Testing Practice Tests • Students are required to participate in a practice test at the school using the script provided in the CBT test administration manual. • Practice test is delivered using an ePAT (electronic practice assessment test). • ePAT is available for student to practice on their own. • The ePAT practice tests, test scripts, and answers for FCAT Math, Algebra 1, Biology 1, and Geometry are posted to www.FLAssessments.com/ePATunder the Practice Assessment Tools and the Resources tabs. • Practice tests (ePATs) can be used at any time at home; schools must stop one week before the test. • After participating in a practice test, students can request an FCAT hand-held calculator or a hard-copy of the reference sheet on the day of testing.

Reminders for Spring 2011Computer-Based Testing • Reference sheets are provided in the CBT platform as on online tool. • Schools may provide hardcopy reference sheets to students. • Hardcopy reference sheets must be single-page, double-sided photocopies of the reference sheet that is in the Appendix of the CBT manual. • Ratio of proctors to students required for computer-based testing is one proctor for every 25 students. • Mathematics Work Folder is now called Florida Computer-Based Testing Work Folder. • WORK FOLDER = SCRAP PAPER

Something New • A new user role, CBT Test Administrator, has been created in PearsonAccess. • School Assessment Coordinators may create accounts for test administrators at each school testing site (computer lab, etc.) for the purpose of resuming computer-based tests during the testing window. • Log in on the Blue Site • Select a CBT test administration (it doesn’t matter which one) • Click on Administrative Management >View User Accounts>New User • Fill in the required demographic information, entering test windows for start and end dates • Click on CBT Test Administrator • Click on your school and • NOTE: you will not be able to edit this info in PearsonAccess once it is entered. Prepare for Testing • Make sure all students have done ePAT • Assign test group codes to each session • Plan for distribution and collection of P/P tests • Plan for distribution and collection of auth. tickets • Plan for distribution and collection of calculators and reference sheets (go in DC box) • Train test/site administrators, proctors, back-ups • Get everyone involved to sign security agreements • Set up Pearson usernames for test administrators so they can resume testing when necessary • Set up workstations, download, install, launch, etc. 16 16 16

Planning: Who Tests? • FCAT Gr. 10 Math and Reading • First-time gr. 10 students who entered gr. 9 in Fall 2009 • FCAT Reading and Math Retakes • Retained gr. 10 students and all gr. 11-AD students • Alg 1 EOC • All students enrolled in Alg 1 or equivalent course in 2010-11 (or any part of an eligible course) • ??? School CBT Team PearsonAccess – Before Testing Filters and Search Fields in PearsonAccess • Any column with can be filtered. • To filter data, click the symbol and enter the filter criteria. • The column will be filtered according to the search term. • Clicking on the column heading also allows you to sort the data in descending or ascending order. Once the data is sorted, an up or down arrow appears after the column heading.

School CBT Team PearsonAccess – Before Testing • Manage Student Information • PreID upload during the designated PreID window • Districts or school users may add information using the Create New Student wizard after the designated PreID window • Access Session Roster • Test sessions must be created in PearsonAccess • Students must be assigned to a test session • Test sessions can be modified at any time • Verify the accuracy of Student Name and Student ID number prior to testing using the Session Roster

School CBT Team PearsonAccess – Before Testing Create Test Sessions (FCAT-Open EOC Open 4/9) • Three ways of organizing test sessions • By Test Group – only includes students in a particular group (e.g., class, testing room) who will be testing togetherAdvantage:PearsonAccess can be used to manage the testing groups and session rosters will include only one group of students testing togetherDisadvantage:will require setup and management of more sessions • By Test Day – includes all students in a school to be tested in a subject on a particular dayAdvantage:greater security because a session can be started and stopped on the same dayDisadvantage: it requires coordination of testing groups at the school

  29. School CBT Team PearsonAccess – Before Testing Create a New Test Session (FCAT-Open EOC Open 4/9) • Log in to PearsonAccess, select 2011 Writing, R/M/S, and Retake administration. • Go to Test Management>Manage Test Sessions. • Click New Session to go to the New Test Sessions screen.

School Assessment CoordinatorPearsonAccess – Before Testing Create a New Test Session (continued) • Enter the session details: • Session Name • School • Test to be Administered • Read Aloud – select No • Default Form Group Type will usually be set to Main, except for when computer-based accommodated test forms (e.g., large print, color contrast, zoom, screen reader) are used • Scheduled Start Date used for planning purposes – a test session will not start until you click START on the Session Details screen • Add students to test sessions by: • Class (View By: Classes) • Individual Student (View By: Students) • Select the check box for each class or student to be added to a session • Click Save • Return to the newly created test session or to the Manage Test Sessions screen • Maintain a list of all test sessions • Ensure technology coordinator cached test content for all sessions and proctor caching is running for sessions prior to the first day of testing

School Assessment CoordinatorPearsonAccess – Before Testing View and Verify Student Data • Student Name and Student ID Number MUST be correct in PearsonAccess. • Confirm all students are in test sessions. • Go to Test Management>Manage Test Sessions • Select “View By: Students” • Select the Show All Students box and click Search

School Assessment CoordinatorPearsonAccess – Before Testing • Confirm all students are in test sessions(continued) • Review the Session Name column for any empty/blank fields. • Click twice on this column heading to sort descending by name. • Students who have not been placed in a session will have an empty/blank field in this column. • Add students with blank fields to test sessions.

School Assessment CoordinatorPearsonAccess – Before Testing • View and verify student data • Go to Test Management>Manage Test Sessions. • Click Session Name. • Click the Session Roster button. • PDF of the roster can be printed and viewed. • Roster displays all students (including Student Name and Student ID) that have been assigned to a session. • Verify Student Name and Student ID for all students in the session. • Note any incorrect information. • Repeat these steps for all remaining sessions until all student information is verified.

School Assessment CoordinatorPearsonAccess – Before Testing Delete a Student • If a Student Name and Student ID Number is INCORRECT, delete the student’s test assignment and create a new record in PearsonAccess. • Delete a student’s test assignment • Go to Test Management>Manage Test Sessions. • Select “View By: Registered Students” on the Student Registration screen. • To view all students, select the Show All Students check box and click Search. • To search for an individual student, enter the search criteria, and then click Search. • Must enter or select at least one search field • The more specific the criteria, the more focused the search will be • Click the name of the student, and then click the Assigned Tests tab. • Select all Online tests assigned to that student and then click Remove Test. • Do not remove any paper tests assigned to the student. • Click Yes – Continue with Removal to confirm.

School Assessment CoordinatorPearsonAccess – Before Testing Add a Student (FCAT-Open EOC Open 4/9) • For students not already identified in the PreID process or with an incorrect Student Name or Student ID Number, remove the test assignment, and then create a new profile in the system using the Create New Student wizard. • During the PreID window, students should not be added using the Create New Student wizard • Note: If an error in a student’s name occurs after the first 11 characters of the first name or after the first 12 characters of the last name, PearsonAccess will not allow you to create a new student profile for that student. • Update those fields after testing is complete.

If all five parts are not completed, the student will not be created. • Part 1 – Add a new Student • Go to Student Data>Student Data Information. • Click New Student.

School Assessment CoordinatorPearsonAccess – Before Testing Add a Student(continued) • Part 2 – Edit Student Details • Enter test data for all required fields - Florida Student ID Number (FSID), Student Last Name, and Student First Name. • Student Name must be entered in all CAPS. • FSID can be a 10-digit Florida Student ID Number (e.g., 1234567891) or the 9-digit Social Security Number followed by an X (e.g., 123456789X). • Scroll down and select the Enrolled School. • Click Save and Next to save your entered data.

School Assessment CoordinatorPearsonAccess – Before Testing Add a Student: Part 2 – Edit Student Details(continued) • Note: If a student is created for this administration with the same Florida Student ID Number (or Social Security Number followed by an X), the same first 11 characters of the first name, and the same first 12 characters of the last name as an existing student profile at this school, the duplicate student error message will appear. • Click Back to Student Entry Form and cancel the process. • Existing student profile must be used unless there is an error in the Student Name or Student ID Number. • See the instructions to Update Student Information on pages 68-69 of the manual.

School Assessment CoordinatorPearsonAccess – Before Testing Add a Student (continued) • Part 3 – Edit Test Registration Details • Select the appropriate Test Administration. • Enter the student’s Date of Birth. • To record ethnicity, use the drop-down box to select Yes or No. • To record race, use the drop-down boxes to select Yes or No next to each race category. Yes may be selected for more than one race category. • Select the appropriate Gender and Grade. • Click Save and Next.

School CBT Team PearsonAccess – Before Testing Add a Student (continued) • Part 4 – Edit Class Registration • To assign the student to an existing class, select the box next to the class name and click Save and Next. • To assign the student to a new class, click New Class and follow the steps to create a new class. • Class name has a limit of 9 characters and must be in all CAPS(e.g., THOMAS). • When the class has been created and added to the list, select the box next to the class name and click Saveand Next.

School CBT Team PearsonAccess – Before Testing Add a Student (continued) • Part 5 – Edit Assigned Tests and Enable the Student to Test on Computer (Set Online Indicator) • Student must be assigned to a test. Select the box(es) next to the appropriate test(s). • Set the student’s Tested Grade and Online Indicator for each test. • Tested Grade is the grade level of the student to be tested. • Online Indicator indicates that the student will participate in the computer-based administration. Yes must be selected for a student to be scheduled into a test session. • Click Save and Exit to complete the registration process for this student.

School CBT Team PearsonAccess – Before Testing View an Existing Test Session • Go to Test Management>Manage Test Sessions. • Under Session name, click the name of the session you want to verify. • Review and verify the students to be tested in the session. Session Roster can also be used to verify the list of students. • If students are missing, see Add Students to Test Sessions. • If students are in the incorrect session, see Move Students to Another Session. • If students will not be testing or if they were absent for/during the entire testing window, see Remove Students from Test Sessions.

School CBT Team PearsonAccess – Before Testing Add Students to Test Sessions • Go to Test Management>Manage Test Sessions. • Select “View By: Test Sessions.” • Click on the Session Name to go to the Session Details screen. • Click Add Students. • Select “View By: Classes” or “View By: Students.” • Select the check box for the class or the student you want to add, and then click Add to Session. • After you add students, you can verify Form/Form Group Type by clicking Edit. • Click Save after you make changes.

School CBT Team PearsonAccess – Before Testing Move Students to Another Session • Go to Test Management>Manage Test Sessions • Select “View By: Test Sessions” • Click on the Session Name to go to the Session Details screen • Select the check box for each student to be moved • Only students with a Ready, Exited, Resumed, or Resumed-Upload status may be moved • Students with a Submitted, Processing, Completed, or Marked Complete status may not be moved to another session • Click Move to go to the Move Students screen • Select an existing test session or create a new test session to which the students will be moved

School CBT Team PearsonAccess – Before Testing Remove Students from a Session • Go to Test Management>Manage Test Sessions. • Select “View By: Test Sessions.” • Click on the Session Name from which you want to remove a student. • On the Session Details screen, check the box for each student you want to remove. • Click the Remove button. • Click Yes – Remove Students to confirm this action.

School CBT Team PearsonAccess – Before Testing Manage Class Information • Class is a required field in PearsonAccess – students are assigned to a class either through PreID upload OR Create New Student wizard. • PreID upload • Class name was provided by the districts. OR • Students were automatically added under generic class names, depending on the student’s test assignment (e.g., M10-Class, MRT-Class, or RRT-Class). Prefixes: • Mathematics Grade 10 = M10 • Mathematics Retake = MRT • Reading Retake = RRT • Create New Student wizard • Coordinator must enter class assignment for students, but there are no prefixes automatically added to these class names.

School CBT Team PearsonAccess – Before Testing Manage Class Information(continued) • School assessment coordinators may use class assignments to organize student information OR manage students in PearsonAccess (e.g., to indicate groups of students test together). However, school assessment coordinators may not want the additional tasks associated with managing and changing student class assignments. • May disregard the class assignment and manage students tested together through test session assignments or some other means.

School CBT Team PearsonAccess – Before Testing Add a New Class • Go to Test Management>Student Registration. • Select “View By: Classes,” click Add Class. • Enter the class name – limit 9 characters and must be all CAPS (e.g., THOMAS). • Select your school name from the drop-down menu (required field). • Click Save to add the class. Add Students to a Class • Go to Test Management>Student Registration. • Select “View By: Classes”, click the name of the class to view Class Details. • Click Add Students. • Check the box next to each student to be added to the class. Click Save and then click Yes –Continue with Add to confirm.
