  13. 商务交际英语(1) Chapter Focus • 在确定写作内容之后,下一个步骤是确定信息的安排次序,商务信函的安排次序大体说来有三种:直接法、间接法、和直接+间接法。 1) 直接法就是先给出中心意思,然后再给出支持信息,这有利于一开始就确立一种积极的口气。 2) 间接法就是先给出支持信息,然后再给出中心意思,带有负面信息的信函多采用这种方式。 3) 直接+间接法多用在既有正面信息又有负面信息的信函中,它是先用直接法给出正面信息,然后再用间接法给出负面信息。 English & Communication for Colleges 上页

  14. 商务交际英语(1) Chapter Focus • 选词强调两点,那就是客气和恰当。客气的词语要做到积极、周到和不带偏见。恰当的词语包括准确、入时和简明。   • 写出强有力的句子强调两点:简明和具体。 • 建造强有力的段落强调两点:完整和清晰。 • 商务交际信函可以只有一个段落,但通常都有起始、中间和结束段。起始段点出主题,它通常很短,占两到五行字。发展段提供各种信息支持中心思想,每段通常有4-8行,它的信息包括具体的事实和细节,理由,步骤或阶段,以及例证。结束段归纳中心思想,表达谢意,它与起始段一样,通常也很短。 English & Communication for Colleges 上页

Adjust the message for your receiver.   28. 商务交际英语(1) Key to Assignment • III. Writing • Sample: Adjusting the Message for the Receiver When writing business messages, it is very important for you to adjust the message for the receiver. Receivers are more willing to accept the content of a polite, positive message than they are the content of one that does not contain courtesy or signs of respect. Writers can maintain a positive tone by being professional, respectful, and by keeping in mind the reader’s point of view. If a message is negative, don’t blurt it out in the first line. Express goodwill and make statements to prepare the receiver for the negative message. In conclusion, If the receiver can’t understand a message because he has been offended by a message, the sender has not communicated effectively. English & Communication for Colleges 上页
