Objectives of region-wide implementation of EBEIS • to establish the effectiveness of the enhanced processes and tools on a region-wide scale. • to test the system alongside the established BEIS to compare the effectiveness, efficiency, and relevance of the enhanced system with that of the established BEIS • to determine adjustments and institutional support requirements to enhance system effectiveness, efficiency, relevance and sustainability

  3. Pre-Implementation Training • Training of Trainers for User Group on EBEIS (region, division and OPS) • Training of untrained (non STRIVE divisions) Division Planning Officers in using the EBEIS • training carried out by those who took part in the above ToT programme

  4. Training During Implementation (1) • Training of Administrator Group

  5. Training During Implementation (2) • Training of Management Group

Strategies for Implementation • the following are suggested strategies for implementation • they lie on a continuum between • complete parallel implementation of BEIS and EBEIS • and • complete cut off of BEIS • it will be up to you to choose / adapt / redefine the strategy for your own region

  7. Strategy 1: Complete Parallel Run • Disadvantages • Burden of double entry of data • Errors may occur in entering data into two systems and impede comparison of the systems • Advantages • Complete comparison of both systems being applied to all processes over a whole school year

Strategy 2: Parallel Quick Count & Direct Cutover School Statistics Module • Disadvantages • Double encoding of “Quick Count” data at the division level (compared to option 1) • Less burden of double entry but still scope for error • Advantages • Complete comparison of both systems being applied to all processes over a whole school year • Substantially less duplication of data entry

Strategy 3: Direct Cutover with “safety Net” (data entry into EBEIS, Auto-download of data into BEIS) • Disadvantages • Development team need to develop & test a module to extract SSM data in the BEIS excel format • Dependency of BEIS data on EBEIS internet connectivity and EBEIS functional reliability • Advantages • Complete comparison of both systems being applied to all processes over a whole school year • NO duplicate data entry • Exact comparison of system outputs

Strategy for Involvement of Schools • This will be a region-wide implementation • thus, we require data from every one of our schools • What strategy / approach should be adopted to secure the involvement of the schools? • can they all use the EBEIS? • if not, how do will our plan cater for those that cannot?

Tasks • Determine which strategy you will adopt • You can: • Refine a strategy • Define a new strategy • Prepare a brief presentation outlining your strategy • provide additional detail needed • bullet points describing strategy, advantages and disadvantages • Define milestones / deliverables / outputs • Present the strategy and the milestones, deliverables and outputs
