CALPADS to TIDE Importance of CALPADS • CALPADS is the sole source for student enrollment, demographic, and program participation data for the student registration system known as the Test Information Distribution Engine (TIDE). • All updates must be made in CALPADS. LEAs cannot update student demographic data in TIDE. • Student accommodations and designated supports are not collected in CALPADS. • Student accommodations and supports cannot be uploaded by the LEA until CALPADS data is available in TIDE. (e.g., new enrollments must be uploaded to TIDE prior to accommodations for the newly enrolled student.) • Processing time from CALPADS to TIDE is within 48 hours.

CALPADS to TIDE • What is CALPADS sending to TIDE? • CALPADS sends all open enrollments with Enrollment Status = 10 or 30, for Grades 3-8, 11, and select schools for Grades 9 & 10. • Concurrent Enrollments (CCEs) – the record with the most recent enrollment will be sent to TIDE. • Short Term enrollments: need to exit students • The following slides will show a mapping from the Smarter Balanced expected fields to the CALPADS field element that is used to populate and/or derive the information. • NOTE: Independently Testing Charters are NOT the same as Independently Reporting Charters in CALPADS. Some charters may be testing differently than how they report to CALPADS.

  13. TIDE View Student Information • To search for existing student records, select the sub-tab [View Students]. • Select a district and school from the drop-down menu. Note: Users only have access to students in districts and schools with which they are associated in TIDE.

  14. TIDE View Student Information • Student demographic data is read-only. • Changes must be submitted to CALPADS and will be reflected within 48 hours. Note: Economically Disadvantaged Status is not viewable by Test Administrators

TIDE View Student or Export List of Students • The search will result in a table similar to the one shown below. • Results may be sorted by selecting the column header above the data. • To view a student’s record, select the [View] button for that record. • It may be helpful to export a list of students in order to verify the correctness of their information and assist them in logging in to the test.

CALPADS to TIDE Designated Supports & Accommodations • Both DCs and SCs are authorized to set designated supports and accommodations for students. • Two ways: one-by-one or upload file (using SSID to link) • Must be set prior to the test session • Template for uploading both embedded and non-embedded supports/accommodations. • Set in system by content area. • Accommodations can be set immediately prior to the student test.

Questions & Answers Issues/Questions • What if IDEA Indicator, Section 504 Status, or Primary Disability fieldsare blank but student needs accommodations and/or designated supports? • These fields are not used in validations within the TIDE system. • CALPADS submission deadline for these data occur toward the end of the school year each year, typically after the testing period is completed for most LEAs. • LEA CALPADS Administrators are able to update CALPADS at all times and should consider updating these data regularly before and during the testing windows.
