  2. Program Chair JD • Find presenters for 12 meetings / yr • What about the groups that meet each week or twice a month? • Need ability to find presentations that the majority of members ‘like’ • Is this the most difficult &time-consuming position in your group?

  3. Looking for Presenters • Hard to Find • Difficult to get them to present • It’s like a sales call to (#) of people at the meeting – all at one time • Are they new to user groups? • Sell the concept • Newsletters are shared

  4. Looking for Presenters • Members see a presentation and talk to others about what they learned • Friends, relatives, complete strangers • Many are teachers & share with students • We can become their evangelists

  5. Vendors are your Guests • Be considerate • Guests at your meeting • Treat them as you would guests in your home • Invite to dinner pre-meeting / post-meeting PIG-SIG

  6. Vendors are your Guests • Bottle of cold water on table • Presenter first • General meeting after • Have your tech crew assist presenter in setting up his / her equipment • Make sure help is available at end of meeting

  7. Vendors are your Guests • DO NOT inflate attendance #s • Group’s level of experience • Look for products your members will use • Promote products in your newsletter

  8. Be Kind to Your Vendors • After presentation confirmation… • Send packet of info at least a month in advance

  9. Be Kind to Your Vendors • Let them know when they should arrive • Overview of what happens at your meeting • Website address • Directions / map • Local hotel information

  12. Be Kind to Your Vendors • Help vendors be successful • ROI – Is the vendor selling product? • It’s how they make their living • Airfare • Hotel • Rental Car • Food

  13. Be Kind to Your Vendors • Have a table reserved for the vendor to sell their product(s) • Do they need a member to help? • Promote buying opportunity to members & in PR

  15. Be Kind to Your Vendors • Public Relations • Cross Advertise • Presentation info in newsletter • Meeting recap in newsletter / pic • Presenter can give to supervisor to show UGs appreciate their support
