Client Overview: Our client is a leading construction company, provides customised building solutions for residential and commercial clients. To keep up with growing demand and improve operational efficiency, Our client sought an innovative, technology-driven solution to streamline the quoting process and enhance onsite project management. Project Scope and Challenges: The Business faced several operational hurdles, including: Labor-Intensive Quote Creation: Generating quotes required manual data entry, complex calculations, and frequent consultations with subcontractors, slowing down the response rate. Ineffective Onsite Coordination: Project managers struggled with worker assignment, materials tracking, and real-time communication, creating delays and resource inefficiencies. 1. 2. Solution by eCommerceAlly: To overcome these challenges, we implemented a customized Zoho Creator application integrated with Client’s WordPress website and extended functionality with Zoho Project Management. Our solution was designed to deliver robust process automation, task tracking, and real-time data management. Key components included: 1. Automated and Intelligent Quote Generation: ● Inquiry Form Integration: Integrated Zoho Creator with the website's inquiry form to automatically capture and process customer requirements such as area, floor size, materials preferences, and more.

Dynamic Pricing Calculations: The system retrieves data from subcontractor price sheets and applies pre-set pricing logic, taking labour, materials, and equipment costs into account to provide an accurate, itemized quote. Customizable Proposal Templates: Developed customizable PDF templates that reflect the client’s branding and include detailed line items, payment schedules, and project timelines. Client Portal for Quote Review and Approval: Added a client-facing portal where clients can view, approve, or request changes to quotes, creating a smooth client interaction without additional back-and-forth emails. ● ● ● 2. Enhanced Project Management Using Zoho: Site Planning and Scheduling Automation: Configured a project calendar with automated scheduling features, linking worker availability, site readiness, and materials arrival dates to prevent delays and optimise scheduling. ●

  3. Task Automation and Allocation: Set up Zoho to automatically allocate tasks to site workers based on their expertise, availability, and project deadlines. Integrated notifications and reminders to keep workers informed of their tasks and deadlines. Inventory and Materials Management: Created an inventory management system within Zoho to track materials used on each project, monitor reorder levels, and automate material procurement requests. This feature ensured that materials were always available, avoiding downtime due to shortages. Progress Tracking and Reporting: Developed real-time tracking dashboards, providing project managers with visibility into project milestones, task completion rates, and any bottlenecks.
