The job of the MC • Select master of Ceremonies • Prepare program to be distributed and arrange for copies • Provide written copies of all the ceremonies • Flag ceremony • Candles • Closing • Assign jobs to patrols • Ensure that all parts of the program will be ready for the COH • Ceremony details • including props • public address system • the movements of the participants • Coordinate COH form to be sent to scout parents • When the planning is complete, it is essential that all key people understand their roles in the arrangements and in the ceremony itself. • Periodic rechecking to make sure that preparation in all assignment areas are progressing on schedule is a good idea. • Call them, remind them at circle-up during the weeks preceding the COH • The presenter and any other guests who will have a speaking part in the award presentation should be contacted directly.
Microphone Setup Patrol Long Table Chair Speaker Receiver Small Table • Tables and Chairs • Troop and US Flags • Table for Rank Advancement • Table for Candle ceremony • Entrance Table • 3-4 tables for Food • Computer projection and table • Sufficient Chairs for all the audience • Audio-visual • Microphone, speakers, • Speaker podium • Projection Screen • Lights • Setup any Other Decorations • Final Preparation and Check • When using candles for the ceremony, get a supply of fresh candles. • Don't try to get by with candles that have previously been used. • Make sure you have matches or a working lighter available. • Check the PA system immediately before the start of the ceremony. • Check all props before the start of the ceremony. Stage
Food Patrol • Assign a balanced menu to all scouts • May need to recruit scouts form other patrols to ensure that there is enough food. • In charge of serving and preparing the food line. • Makes sure that parents and guess eat first
Drink and Ice • Provide Ice and Drinks • Sodas • Gatorade • Cool aid
Utensils Patrol • Provide • Plates • Napkins • Forks • Spoons, • Desert plates • Cups • Coffee and creamer
Clean-up Crew • All Scouts cleanup, nobody leaves until the place is completely clean • Tables and chairs are put back in the closet • Ceremony props such as candle holder cleaned and stored • All papers and forms are collected and disposed as appropriate • Floor is swept and mop if necessary • All garbage is pickup and bag taken to the dumpster • Audio system is carefully packed nad stored in scout room • Flag are put back into scout room • Podium and all tables are put back were they were found before the COH • Extension cords are put back under the stage • If kitchen was used, it should be cleaned and closed • Any lost or unclaimed items should go into the Scout Room.
Work to be done in Advance • Reserve (239-6081, Lee Laurence) • projection equipment • Projection screen • Fellowship hall and any other room needed • Reserve any other room that maybe needed. • Purchase all patches and awards needed.
