  2. MAIL OFFICE There are Two kinds; 1. Sorting Mail Office 2. Transit Mail Office (TMO) Sorting Mail Office deals with contents of mail bags addressed to it as well as closed forward bags without opening them Head Sorting Assistant is in charge of Sorting Mail Office. Mail office situated at R.S. are designated by the name of the R.S. followed by the letter RMS i.e. MADURAI RMS While those not so located are designated as Sorting Office i.e. KARAIKUDI SORTING OFFICE Transit Mail Office deals only with closed bags Mail Guard or Mail Agent is in charge of TMO
  3. Based on the specific kinds of work, Sorting Mail Offices are of the following kinds Regular Sorting Office: Deals with all kinds of Postal articles having 4 branches

Based on the specific kinds of work, Sorting Mail Offices are of the following kinds Packet Sorting Office: Deals with any second class unregistered mail Registered Packet Sorting Office: Deals with only second class registered articles Press Sorting Office: Deals with registered newspapers and periodicals Parcel INS Sorting Office: Deals with only insured parcels Parcel Sorting Office: Deals with any registered parcels
  5. SET OF MAIL OFFICE Night Sets Set which works throughout the night does not function on the next day/night. Another night set with same set number, same timings and same mail and sorting pattern will work on next night. These sets are suffixed with words Batch-A and Batch-B after their set number. E.g. Madurai RMS Set No.2 Batch A Madurai RMS Set No.2 Batch B
  6. SECTION Section is a traveling office of the RMS working on railway lines, dealing with sealed bags only. Mail Agent or Mail Guard is the In charge. Sections are numbered serially and designated by the name of the RMS division followed by serial number. Thus W-25 denotes a Section of ‘W’ division and AM-38 denotes a section of ‘AM’ division.
  7. BEAT OF SECTION The portion of railway line over which a section works by a particular train. Set of Section The establishment of RMS, which works throughout the beat of the same Section in both directions, is termed the Set of that particular Section Sets are numbered serially and are designated by serial number preceded by the name of the Section Thus HB 9 Set No.3 denotes the name of 3rd set of HB 9 Section Each Set of a Section has the same working hours, the same number of officials, and the same mail arrangement The number of Sets of a Section is determined from weekly working hours

Trip The journey performed by the set of a Section from one end of its beat to the other is called Trip It is of two kinds - In-Trip and Out-Trip Trip from headquarters to outstation is Out Trip Trip from outstation to headquarters is In Trip For example - HB 9 Set No.3 (In) or HB 9 Set No.3 (Out) Changing Station When two or more Sections work by the same train, the station at which the beat of one Section ends and beat of another Section commences, is called Changing Station

Connecting Section When two Sections work in two different trains in immediate connection with one another at a station and one Section has mails for other, they are called connecting Sections Sets of Mail Office and Sections commencing to work from zero hours in the night will continue to use the same date even after zero hours Rest house The officials who proceed on duty with Sections from their headquarters to outstation are provided with free lodging facilities at terminal or Changing Stations till they recommence their In Trip This lodging is called “Rest house”
  10. Record Offices: There are 3 types of Record Offices Head Record Office There is only one HRO in a Division The Mail Offices and Sections of Divisional headquarters are also attached to HRO. It is a stationary office of RMS & their Section It prepares salary and contingent bills for the entire division and maintains accounts connected with it The officer in charge of HRO is called Head Record Officer Sub Record Office A Sub Record Office is a stationary office of RMS It is situated at the same station as a mail office. A Sub Record Office may or may not have sections attached to it SRO supplies forms, stationary, bags etc to the Mail Office and Sections if any, attached to it SRO checks the work paper and places them on record The official in charge is called Sub Record Officer

Record Offices Record Office Record office is a stationary office of RMS It is situated at the out side of the H.Q Only sections are attached to it It supplies forms, bags and stationery to the Sets of Sections. In addition, Record Office files the work papers of Sets and Sections attached to it and places them on record for specified period The official in charge of Record Office is called Record Officer
