Data Transfer Challenges Simultaneously: • Deliver information to new ‘consumers’ • A real challenge when no previous interest in the asset • Transition ongoing projects • Ensure change management processes are in place - they may not match! • Continue to work with existing suppliers • Effect the transfer a variety of record types • UKOOA Best Practice Guidelines should help • Ensure ‘completeness’ • Approach based on our retention policy/schedule • Integrate catalogues with own systems • Deliver catalogue to users for self help

Challenges – Variety of Catalogues • Catalogues in Applications • Spreadsheets and word documents • Handwritten • None! • Engineers lists of boxes, subsequently renumbered • Data type specific lists • Pallets and bags of drawings • Microfiche • Core listings • CDA Catalogue quality is dependent on available Information Management resources

Challenges – Merging Catalogues Balancing act • Easier to find if all in one place – one catalogue versus 100 spreadsheets but…… • Without consistent properties search results can be very poor How much time have we got? • If you want it now – live with what you’ve got • If you want it next year – then we can work on the data Involves: • Understanding the classification system • Understanding the history of the data • Mapping it to in-house classification • Avoiding loss of information

The G&G World Givens: • Standards in place • A well name is a well name – only small permutations • Records are static • If previous owner has been diligent in meeting obligations to the dti then information is accessible through CDA. • Normally separate catalogues for paper and electronic records Routine tasks • Clean up inconsistent well names • Clean up field names • ‘Shoehorn’ catalogues for paper and electronic into one system.

The Topsides and Subsea World • Its dynamic • Equipment is constantly modified and upgraded • History is important • Changes must be tracked • Lacks standards • Variable classification and cataloguing, often limited resources • Vendor practices vary • Older is worse! • Different project teams and methodologies • Cataloguing often reflects why being done – not what • Value is underestimated • Inability to find topsides and subsea information costs money!

Topsides and Subsea – Change Management Scenarios • Pre 1990 - manual – output hardcopy • 1990 onwards manual during projects with electronic copy loaded at end of projects (by which time new projects and modifications started) • Recent – electronic with ‘e workflow’ Issues • Vendor numbering system is different to project numbering system is different to operator numbering system • Changes of ownership triggered changes to document management • Which system was maintained? • Was it reflected across paper/sepia and microfiche? Know the history It’s critical to retrieval of documentation for support of ongoing maintenance and development work

Topsides and Subsea – Cataloguing Equipment Dresser Rand Compressor • One on Murchison and one on Balmoral – Same piece of equipment • Different companies - different project controls – different documentation packages – Same piece of equipment • Murchison: 400 records - generic descriptors • Balmoral: 800 records – detailed descriptors Scenario - Gas leak threatens production • Find a parts list or an exploded diagram for the seal cartridge • ‘seal’ plus ‘compressor’ plus ‘gas’ (no results with cartridge) • Balmoral: • 16 original documents • Murchison: • no original documents; • 13 documents recent documents reflecting modifications by CNR • User must know history and adapt search queries

Technical Challenges – Catalogue import to DMS • Mapping properties from one system to another • No classification– have to work with keyword analysis • Single page tif system to multipage tif • Change management system/version structure • Rules and assumptions must be checked or can end up with wrong version displayed as the latest • Pick lists v free text • Field lengths • Different applications environments – integrated systems

  22. Vision • User asks one question - gets relevant answers • ‘edocument control’ with change management standards across the industry • Simple high level standard catalogue classification to support catalogue integration at A&D .. increasing business efficiency and shareholder value
