Cofely Invoice Validation 2014 Jason Taylor – Energy Manager Southampton City Council
Why Validate Energy Invoices? • Nationally 3-5% of all energy invoices are incorrect • All of our electricity and gas invoices are validated at the council • In the last quarter we validated • 537 electricity invoices • 723 gas invoices • Of the 537 electricity invoices 162 (30%) failed their initial validation process and required either manual checking or querying with the supplier. • Of the 723 gas invoices, 253 (35%) failed our initial validation process.
Savings • Over the past 24 months we have undertaken checks and rectified inconsistencies on our gas and electricity account that have saved the council £250k • Invoice validation • Site and meters checks • Improved query resolution • We spend circa £900k per annum for heat and chilled water from Cofely therefore we need to validate this account too – good business sense
Cofely Invoices – Validation Steps • Find out what your price indices are: • Within your heat / chilled water supply agreements • Currently – from invoice and or relevant publications
Cofely Invoices – Validation Steps cont. • Take Meter readings or obtain raw meter data from Cofely / BMS / M&T System • Check comparison with SCC invoice validation tool • Input all details within the template from SCC as is or change to suit your organisation
Summary Findings • Good news! • We have not found any inconsistencies in the Cofely invoicing based on the previous invoices assessed. • We would now like to asses against profile metering data and compare with Cofely figures • Excel Validation sheet – explanation
