NC LIVE TitlesCommon Problems Ralph Kaplan 3 April 2003
What do I do • Systems Librarian for NC LIVE • NC LIVE provides access to online journals and ebooks • Support librarians • Technical and database • Tasks – maintain the full text titles list
Two general situations where problems are encountered • While compiling the data • Questions from library staff
Compiling the data • From vendor title page web sites or vendor-supplied FTP locations
Problem – inconsistent dates • Problem • On line vendor titles list different than what’s actually available
Example - inconsistent dates • When doing a publication search for the journal "Workbench" it says: 01/01/1994 through 09/30/2000. However, when searching, full text is offered up to Jun 2002.
Situation - inconsistent dates • The web titles page shows 01/01/1994 -09/30/2000 • The ftp titles site shows Jan 1994 - 01 Jun 2002
Why Differences? - inconsistent dates • Presented lists comes from different sources • One file is not up to date • Human error
Solution - inconsistent dates • Find out all titles lists locations • ftp; web; within database • Ask the vendor why there are differences • Ask the vendor which one to use • Talk with the vendor about some resolution to avoid confusion
Problem – “potential titles” • Titles list contained titles that were not in the database • FTP site would be correct – shows true titles • The titles web site would contain the extra titles
Situation - “potential titles” • Titles list contained titles that the vendor claimed they were going to have in the future with no indication of that condition
Solution - “potential titles” • Get the vendor to reconcile the two files and leave out the proposed titles
Problem – inaccuracy • Titles page different than database listing
Why Differences? - inaccuracy • Production programs that remove older data not working • Unknown problems that the vendor needs to research
Solution - inaccuracy • Discuss with the vendor the need for accurate information • Talk with your sales rep
