ATHLETEIC CHECKLIST (ID41) FOLLOWED BY A GPA CHECK By following these instructions, you will print an athletic checklist that can be used by the AD to monitor athletic paperwork, or given to coaches to check status of completed paperwork. Note: Fields 602, 603, 611-615, and 617 are printed on this report. Type ID41,3 Note: ID41 is the check-off box report and the ,3 is a custom extract. In this example, we will be selecting the athletes from the Frosh boys basketball team. This assumes that the Frosh boys basketball team number (03) has been entered on the 600 page in field 622 or 623 already. Press <enter> to go onto the next page. Select <F3> for the athletic eligibility checklist. Type N to not print local field 12. N
Type 4 then <enter> to accept today’s date. Note: the select 4 represents all “active”, “inactive”, and “left on date” students. You may want to select “1” to get only “active” students. Type 621 C 03 to begin to select all the Frosh. boys basketball athletes that you have entered in fields 622 or 623. Note: 621 is a grouping field that you will not be able to access in ID01. It is used to find athletes that have been entered in fields 622 or 623. Similarly, grouping field 624 (winter) is used for fields 625 or 626 and field 627 (spring) is used for fields 628 or 629. Field 620 will catch anything entered in fields 622 thru 629. Press <enter> to skip down to the sort selection Type 101 to sort by alphabet. Press <enter> to go onto the next page.
This is the printout that automatically prints after the processing. Note: If you have entered anything in fields 602, 603, 611-615, or 617 it will show up on this printout. Timesaver: Pay attention to the 4 digit code in front of each student’s name. You can use this number in ID01, CL54, and MR54 to avoid typing in the name of the student. This number also assures that you are going to the exact name you want and not making mistakes on common names like Jose Garcia. Select <F2> in those programs to “change the search order” to access this feature. Communication saver: Make short notes in fields 611 and/or 617 to your coaches or yourself. Examples: NOT ELIG = not eligible TOO OLD = 19 years old NEED 214 = needs a 214 SEE ME! = coach to see the AD NEED PHY = needs a physical NOT CLER = not clear NEED INS = needs insurance proof DONT PLY = don’t play athlete Make up your own; but, you only have 8 spaces. CHECKING ACADEMIC ELIGIBILITY IN 10 MINUTES (ID48) This process will check the academic eligibility of all your athletes for a particular marking period. You must know what marking period you are checking prior to running this report. Type ID48,0 at the main menu Note: in this example we have already done a sort (the frosh BB team) just before deciding to run this report. This is why there is a ,0 not a ,3 behind the ID48. If you did not run a previous sort, use ID48,3 then follow the remaining instructions. Caution: Make sure you are on the correct computer, with the correct grades before continuing. This is particularly important for Concept 6 schools. The program to look up grades after they have be deleted is called “LOCAL”. Your SIS coordinator should be able to explain this program to you. Caution: If the printout has a missing grade or says “check”, you should look at individual report cards in MR54. Use the appropriate function key to select the correct marking period. Note: This page will have additional choices at Concept 6 schools.
This is the ID48 printout. Caution: This program (ID48) and the printout to the right is a quick GPA calculation of the marks in the SIS system at the time of printing. You must make sure that all marks are final for the marking period you are checking eligibility for. Ask your SIS coordinator when the marks have been completely entered. When in doubt, especially when you see the word “check” to the right , look in MR54 for the report card. Use this 4 digit code when accessing the name in MR54, ID01, CL54, and other programs. This will ensure that you are looking at the correct student. Select <F2> in those programs to “change the search order” to access this feature. Note: The word “check will appear for any of the following reasons: a student has less than 6 marks, or less than 6 classes in their schedule, or the grade has not been entered for a class, or has one fail, or has less than 2.0 GPA. Note: The order of the marks DFDCDA is the order that the grades were scanned into the SIS system and not the order of the student’s classes during the day. Note: This last student has a 2.166 but “check” is indicated because they have a fail. Names deleted for confidentiality
