Role of the Team at TDN Document Flow Jo Byard as gatekeeper for the receipt or return of documentation Lauren Carter and Maxine Tomkiss as processors /support Amanda Ashall as data coordinator, monthly returns & invoicing
Role of the Team at TDN What we are here for: To assist with queries To ensure a smooth flow of documentation To provide support To update documentation in the event of programme changes
Role of the Team at TDN What we are not here for: To complete paperwork for you To decipher illegible script To make judgements on documents where statements are contradictory To process where information is inaccurate or missing
Your Role • Understanding that Administration is vital to the operation of the contract • Understanding that your work is extremely important • Knowing that it is better to query before sending in paperwork than to have paperwork returned • Realising that the team is both everyone here and all of you
Start Paperwork For all new Starts: • TDN Start Form • Photocopy of the ILR • Registration Evidence (Within 6 Weeks) • ILP (Start Version) Additional Paperwork: • Copy of 24+ Learner Loan Letter for 24+ Learner Loans • Copies of Certificates for exemption from any Functional Skills • Self Declaration Form for Unemployed Learners
Completion Paperwork • TDN Achievement Notification Form (where applicable) • Relevant Pages of the Original ILR • Copy of Aim Certificates • ACE Certificate (Apprenticeships) • ILP (Completed)
Withdrawals • TDN Withdrawal Notification Form • The Original ILR • Evidence of latest progression of LearningExpectation: The last two full progress reviews, which MUST clearly show evidence of learning & should be signed & dated • ILP (Completed)
Suspensions To begin a Suspension (Break in Learning) • TDN Suspension/End Date Extension Notification Form Only To end a Suspension (Break in Learning) • TDN Suspension/End Date Extension Notification Form Only & updated (photocopied) ILR giving updated start/end dates
Change of Circumstances • TDN Change of Circumstance Notification Form
Job Outcomes (Unemployed) • Required for all unemployed learners gaining employment within 6 months of the end date of their learning programme
AGE Grant • De minimus Forms • LDM Code 132 • Payment Timescales
24+ Learner Loans • National Insurance Numbers (NINO) • Attendance • Learner Letter • Invoices • Separate paperwork for funded aims • ILR Codes • Portal List
Learner Journey Report • Submit on time • Fully complete • Data must not be contradictory • Will delay payment
