NPC Updates • Panhellenic/Greek advisor should get in touch with Area Advisor and/or NPC Extension Chairman as soon as subject comes up. • Get the NPC Extension Packet, it's more thorough than the Green Book. • It is so important to set up the Exploratory Committee to conduct the appropriate research and analyze it. • Just because a chapter has left a campus doesn't mean the campus is ready to expand • PH support is absolutely critical to the a successful expansion effort.
When to do Extension • A number of women are unable to affiliate with existing chapters (interest > quota and/or formal recruitment numbers) • Raising chapter total would make groups unmanageable • Opportunities are available for a new group to enter on a level playing field (i.e. housing or lodge space is available if all other groups have these amenities)
Before you Vote • Educate your community so they can make an informed decision before a vote is called. • Chapters (visit chapter meetings to discuss pros and cons with entire membership) • Panhellenic (set a vision for growth) • Advisors (set up a meeting) • NPC delegates (send letters and/or call) • Samples on your disk • info_for_chapters_and_advisors.doc • Ltr_to NPC_Delegates.doc • Panhellenic Vision for Growth.doc
The Process, Stage I(NPC_Manual_Extension.pdf on your disk) • Seek Administrative Support • If administration supports the decision, Panhellenic votes to open the campus. • Develop a timeline (sample: extension timeline.doc) • Consult the NPC Area Advisor and the NPC Extension Chairman (they will need a copy of the minutes recording the vote) • Consideration should be given to NPC fraternities which • have previously had a chapter on the campus • have letters of interest on file • have been suggested by a local sorority if applicable.
The Process, Stage II • Send a letter of information to NPC fraternities to solicit interest and/or request the NPC Extension Chairman to notify groups of the opportunity. (sample: ltr_of_information.doc) • Take advantage of upcoming opportunities to meet with interested groups or solicit others (AFA/NIC) • Share packets of University and Panhellenic info (sample: afa_handout.doc, admission and/or recruitment brochures, grade reports, etc.) • Set up fireside chats or time for coffee during a break
The Process, Stage III • Select those you wish to make presentations from the NPC fraternities returning letters of interest and packets • Evaluation of the packets is time consuming and tedious….set up a process to make this easier for your extension committee by identifying key issues and creating standards (sample: packet_rankings.doc)
The Process, Stage IV • Arrange campus visit/presentation with selected groups (sample: extension invites.doc) • Notify those not selected • Prep your students for the visit…make sure you are all on the same page and that students feel they have a chance to provide input (unless this group will never interact with IFC and NPHC, invite their input as well) • Samples • Extension Feedback Form.doc • Extension Committee Recommendations.doc
The Process, Stage V • Decide which group meets the needs of the campus • Notify the other groups of the selection • Begin work to prepare for colonization
