The Upgrade Process • We moved from Desktop to WebTMA and mobileTMA effective July 1, 2013. • TEST from 10/2012 through 6/30/2013 • Dir of Facilities Management, two Asst Dirs and TMA Administrator met weekly • mobileTMA and the MyPage feature in WebTMA presented us with an opportunity to change old processes

Why mobileTMA Improve customer service The number one complaint on our customer satisfaction survey is “I submitted a work order to ____ a month ago and I just got an Email telling me it is complete”. With mobileTMA, the work order is closed as the work is completed and the customer receives an Email the same day (or the next) they made their request.

  5. Why mobileTMA cont. Improve efficiency • Our old system had technicians come to a central location to get their work orders. Now they get their work orders in their shops (on the supervisor’s MyPage) or on a mobile device. • The Paper Chase. We used to print and distribute 18,000 paper work orders. We handle less than 50% of that paper now. (WebTMA MyPage accounts for part of this)

  6. How we use mobileTMA Short quick work orders 60 - 70% of the work orders that come in today will be for things that can be done within an hour or two. We have technicians that focus on these types of things. Perfect for mobileTMA. The person that pulls in work orders through iSD assigns the task type and schedules it to the appropriate mobile device. The technician does the work and closes the work order. If they use a part they can charge it to the work order at the time of use.

  7. How we use mobileTMA, cont. Inventory in Central Supply • We expect to save 50% of the time we used to spend doing our annual inventory. • All shelves are tagged with bar codes. • Scan the bar code, enter the count, hit save, and do it all again. • When you are done, sync the unit. mobileTMA does the Variance Analysis, adjusts inventory, and issues the On Hand Adjustment.

  8. Inventory cont. • The system issues an OH Adj type 9 for a mobileTMA positive adjustment and an OH Adj type 11 for a mobileTMA negative adjustment. • No more Count Sheets and Balance Sheets. • Use Browse to select OH Adj type 9s and 11s and Recount as necessary.

  9. Asset inventory Campus Planning and Design • Use it to bring assets into inventory. The tags are bar coded so you can either scan or enter the tag#. The Asset Browse menu is used for this. • Can submit Work Requests to have items moved while in the field. • We have them submit Work Requests instead of Work Orders because it’s easier and requires less knowledge of TMA.
