Background • Individuals on campus have expressed a desire to be known by a name different than their legal name. • M-Pathways is the authoritative source for legal name data for students, faculty, and staff, but up to now has not attempted to capture preferred names. • Numerous campus systems accept data feeds from M-Pathways. Capturing a preferred name in M-Pathways will allow a single source for campus systems to retrieve this data.
Policy The University recognizes that as a community many of its members use names other than their legal names to identify themselves. As long as the use of this different name is not for the purposes of misrepresentation, the University acknowledges that a “preferred name” can and should be used wherever possible in the course of University business and education.
Policy (con’t) Therefore, it is the policy of the University that any student, active or retired faculty or staff member, or alumni may choose to identify themselves within the University’s information systems with a preferred name in addition to the person’s legal name. It is further understood that the person’s preferred name shall be used in all University communications and reporting except where the use of the legal name is required by University business or legal need.
Policy (con’t) The individual is free to determine the preferred name she or he wants to be known by in the University’s information systems. However, inappropriate use of the preferred name policy (including but not limited to avoiding a legal obligation or misrepresentation) may be cause for denying the request.
Implementation Strategy • Announce Policy to Campus • Implement self-service names pages in Wolverine Access • Update select data feeds and interfaces to include preferred name • Analyze additional reports, data feeds, and interfaces over the coming year • Incrementally add preferred names to additional interfaces where appropriate
Key Dates • March 2007: Campus Announcements • April 25 – Wolverine Access self-service names pages available • May 1 – Preferred Names interfaced in weekly update to UM Online Directory • Later in 2007 • Mcard to have option for preferred name • Provide Preferred Names for printing of 2008 Staff Directory • Coming in 2008 • Additional queries and reports • UM Data Warehouses
UM Online Directory Preferred Name will be added to the Also Known As list, and will be displayed on its own in a new section so that it will be clear which name a person typically uses.
